We're seeking an Executive Assistant extraordinaire to join us on our journey of innovation and growth In this role, you'll be the wizard behind the curtain, providing crucial administrative support to our CEO and President.

But that's not all - you'll also be instrumental in driving key initiatives related to our strategic and business plans, making your mark on the future of Plan A Powered By StaffStat. From crafting clever correspondence to whipping up dazzling presentations, you'll be the maestro of efficiency in the CEO's office.

**Position Summary**:

- Prepare and organize a variety of documents and correspondence in an accurate and professional format.
- Providing executive-level support to the President and CEO while building and sustaining effective working relationships with other areas of the organization.
- Provide high-level calendar management with emphasis on proactive planning and follow-up, scheduling/rescheduling internal and external client meetings including organizing logistics, agendas, etc., as well as last-minute scheduling.
- Planning and prioritizing meetings (i.e., coordinating meetings, preparing agendas, booking meeting rooms, recording minutes, and coordinating catering requirements).
- Research, planning, and booking complex travel arrangements, and managing travel requirements for multiple associates and events.
- Preparing presentation materials; organizing and planning conference calls.
- Preparing and coordinating venues, materials, and catering needs for corporate meetings and events.
- Drafting, reviewing, and communicating information across the company on behalf of the President and CEO.
- Managing incoming and outgoing mail and prioritizing items as necessary.
- Provide a complete administrative support function with limited or no guidance.
- Manage hard copy and electronic files and records and maintain an adequate filing system.
- Maintain office supply inventory and other additional supplies as needed.
- Handling and tracking expenses and invoices.
- Participate in special projects and fulfill additional responsibilities as needed.

**Requirements**:

- Excellent communication skills, both verbal and written.
- Meticulous attention to detail.
- Ability to maintain positive energy and be an active team player.
- Ability to take initiative and be self-directed, adaptable, and innovative.
- Ability to complete a high volume of tasks and projects with little or no guidance.
- Strong interpersonal skills including flexibility and the ability to work with others in a team environment.
- Ability to prioritize tasks and responsibilities, strong time management skills, particularly in managing deadlines and/or high peak work periods.

**Qualifications**:

- Post-secondary education (2-year college diploma minimum) in a related field
- Ability to work independently and in a team environment.
- Fluency in French is an asset.
