Board Administrator and Liaison

Chinese Canadian Museum (CCM) is seeking an experienced person for the position of **Board Administrator and Liaison**.
Reporting to the CEO, this position supports the Board of Directors, Committees and other staff as required. They will carry out various administrative duties to support the annual strategic and tactical objectives, advance the mission of CCM, and support the growth and sustainability of the Museum.
**Key Responsibilities**
The Board Administrator and Liaison provides confidential support to the Board Chair and the Board of Directors and oversees the day-to-day administrative operations of the Board Office. The Board Administrator and Liaison, provides support to the Board and Committee chairs to ensure all committee meetings and functions are conducted with efficiency and effectiveness. This person is responsible for effectively scheduling and managing engagement activities for the Chair and Board of Directors and for developing related reports, presentations, and correspondence, as well as supporting the Governance Committee Chair to ensure the governance-related functions of the Committee are met.
**Job Functions**:
- Works with the Board Chair, CEO, Committee chairs and staff leads, assisting in establishing annual meeting schedules, providing committee support including, but not limited to, preparing terms of reference, agendas, and supporting materials, taking minutes, managing the online Board drive and other staff drives and ongoing communication with the Board and Committee members.
- Takes responsibility for timely distribution of materials to the Board and Committees.
- Supports Board meetings with preparation of content and materials; records minutes and attendance; posts Board documents; and tracks the completion of action items.
- Understands and follows the constitution and by-laws to ensure the Board processes are compliant.
- Maintains and regularly reviews the Board Manual content and prepares and presents recommended changes to the Board for approval together with the Governance Committee. Ensures consistency of language and compliance with relevant policies, guidelines, and legislation.
- Organizes all aspects of Board meetings to ensure logistics and proceedings are handled efficiently and effectively (whether in-person or virtual). Ensures the appropriate flow of information to the Board and the dissemination of results from Board decisions to appropriate staff for implementation.
- Coordinates appointments, meetings, engagement events, and site tours with staff and other CCM community partners and participates as appropriate.
- Responsible for managing CCM’s office, including coordinating with suppliers, ordering office supplies, and receiving and sending mail.
- Proficient use of applicable software (Word, Excel, PowerPoint, Zoom, etc.) and experience in running virtual and on-site meetings.
- Performs other related duties as assigned.
**Qualifications**:
- Bachelor’s Degree
- Five to seven years of recent experience, including at least five years at a senior executive assistant level with experience in providing support to a Board of Directors.
- Experience and interest in Board governance.
- Experience in building and maintaining relations with a Board, senior executives, and officials.
**Skills and Abilities**:
- Possess a high degree of tact, diplomacy, and the ability to maintain confidentiality.
- Ability to work under pressure, meet deadlines, problem-solve, make well-informed decisions, use initiative and judgment to develop courses of action that are results-oriented, and anticipate and respond to changing priorities.
- Possess excellent interpersonal skills and the ability to communicate clearly and effectively verbally, and in writing.
- Ability to interact effectively with others both internal and external to the organization including elected officials, senior government staff, and other stakeholders.
- Ability to critically analyze and synthesize data.
- Ability to record and compose minutes accurately and effectively.
- Possess attention to detail.
- Fluent in the use of technologies for meetings including voice, video and web conferencing, and audio-visual systems.
**Salary**: From $75,000.00 per year
