Office Administrator/receptionist

Since its origin in 1981, JASCO has developed and implemented acoustic technologies for underwater acoustics, ranging from advanced acoustic recording systems design to complex acoustic modelling algorithms. We perform acoustic consulting, field monitoring and data analysis services. Our work encompasses all stages of environmental reviews and assessments of underwater noise. We work with regulatory, oil and gas, marine construction, energy, fisheries, transport, and defence sectors. JASCO has offices in Victoria, BC, Halifax, NS, the United States, Australia, Germany, and the United Kingdom and is currently seeking to hire a Contract Administrator onsite in our Halifax (Woodside, Dartmouth) office to support contracts worldwide.
**Position Overview**
The Office Administrator/Receptionist serves as the go-to-person for internal and external office enquiries and provides ongoing administrative support for JASCO staff in various departments. This position is an in office position for 37.5 weekly hours Monday to Friday, working remotely is not an option.
**Responsibilities**
- Greet visitors, answer phones and direct communications;
- Ensure visitors to JASCO adhere to internal Security Policies;
- Receive, process, and distribute incoming mail;
- Maintain office supplies, process office supply orders, and distribute supplies to staff;
- Ensure office equipment is in good working order and liaise with suppliers and IT when necessary;
- Monitor and maintain facility supplies and services such as coffee supplies, cleaning service, waste removal company, etc;
- Event planning, including sourcing catering for in-house events;
- Liaise with Project Managers and travelers to book travel to various places worldwide (including air tickets, hotels, and rental vehicles) either via a travel agency or online booking tools;
- Process staff general expense claims ensuring company processes and procedures are followed;
- Support to Human Resource, Health and Safety, Engineering, and Acoustics staff as requested; and
**Required Qualifications and Experience**
- In depth working knowledge of MS Word, Excel, Outlook and PowerPoint;
- Excellent interpersonal and oral and written communication skills;
- Working knowledge of MS SharePoint is an asset;
- Must have strong organizational skills and the ability to multi-task;
- Must be a highly motivated individual, able to learn quickly and work independently;
- Must have a demonstrated ability to work within tight and frequently changing deadlines;
- Attention to detail and high degree of accuracy is mandatory;
**Education**
Minimum: Completion of Office Administration Program from a recognized institution or equivalent experience.
