**Volunteer & Front of House Coordinator (VFOH)**

Join the hardworking and dedicated team delivering exciting arts and culture programs and activities to our community - and beyond. Reporting to the Audience & Digital Services Supervisor, the **Volunteer & Front of House Coordinator** is an important member of the team, building and supporting the volunteer program, and facilitating event needs for every live performing or special event. The position acts as primary front line for the public and clients during events. As with all positions at the Centre, the VFOH will be required to be flexible, punctual and possess excellent customer service skills.

Since 2010, the Centre has welcomed the community to create and participate in diverse experiences for all ages. We proudly program four vibrant gallery exhibition spaces, a range of instructional classes for children, teens and adults, an eclectic live music series, special family events and summer arts camps.

This part-time position has a base of 15 hours per week plus hours required to attend all performing arts and special events. This requires work flexible hours, including evenings from 4:00 pm; weekends; split-shifts and occasionally weekdays for staff training or coverage for program volumes. Must be comfortable working alone from time to time.

**Context and Summary**
We are currently operating offsite due to the cultural infrastructure project called Aurora Town Square to complete an addition to our venue and add cultural amenities. The new facility is set to open in late 2023 or early 2024.

As with all positions at the Centre, the Volunteer & Front of House Coordinator will be required to be flexible and punctual. This position will require the Volunteer & Front of House Coordinator to manage multiple volunteers simultaneously and consistently meet show deadlines, and work as part of a team. The Volunteer & Front of House Coordinator will be liaising with various members of the staff team on a variety of show-related projects.

**Front of House Coordination**
- Represent the Aurora Cultural Centre in a positive and professional manner.
- Provide front of house services for all events of the corporation where public are present, including o personnel (staff and volunteer, sponsor) needs, o signage and facility needs, o refreshments, cash/host bar where applicable,
- procurement of applicable liquor licenses when necessary o green room setup and artist hospitality o merchandise table coordination with volunteer team and artists o patron and ticketing management,
- ensure swift and safe entry,
- assist with cash/cashless transactions to keep patron flow constant, when needed o documentation of event as needed o troubleshooting and problem solving;
- Communicate with program managers on requirements of programmed events;
- Enthusiastically engage visitors to the Centre;
- Assist in the delivery of programming, including galleries, exhibitions, programs, classes, concerts and special events.
- Liaise with staff, sponsors and instructors to assist in the set-up and tear down of program and event infrastructure.
- Required to lift, push, pull, reach, carry and move objects and infrastructure that is required in the delivery of arts and special event programming, including, but not limited to: programming and hospitality supplies, service carts, chairs, boxes, and signage.
- Administrative duties such as database management; assist in event coordination.
- Hospitality preparation and clean-up and may be required to undertake emergency cleaning.

**Volunteer Program Coordination**
- organize patrons and support staff to ensure they have strict adherence to protocols related to events;
- recruit, train, supervise the Centre’s volunteers (including co-op students);
- coordinate, promote, schedule, supervise and evaluate all volunteer opportunities;
- build relationships with the schools to enable co-op opportunities;
- monitor, communicate, and manage the volunteer program policies and protocols;
- report on volunteer engagement statistics;
- manage volunteer appreciation and recognition;
- maintain up-to-date volunteer information and shifts in volunteer software;
- receive and code invoices for volunteer expenses to process for payment;
- Undertake other duties as may be assigned by the Audience & Digital Services Supervisor, Executive Director, or senior staff member on shift.

**Education**
- Minimum 2-3 year post secondary education in an arts related field
- Volunteer management training an asset
- Event management training an asset

**Experience**
- Minimum 3 years experience in a previous performing arts environment
- Experience in volunteer-run sett
