**TITLE : Event and Marketing Coordinator**
**DEPARTMENT : Food & Beverage**
**Scope**:
Responsibilities to solicit and promote catering functions of the hotel while maximizing profits from food and beverage revenues and meeting room rental, service larger groups / conferences and repeat accounts. All to be completed in accordance with the overall hotel strategic plan.
**Primary Responsibilities**:
Ø Understands and abides by company policies and procedures; can effectively communicate them to subordinates
Ø Conduct site inspections of the property
Ø Negotiates food and beverage prices, meeting room rental, function space, guest room rates and hotel services within approved guidelines
Ø Assists the client with menu planning, coordinates food, beverage, meeting room set up, décor, timing, audio visual and other services as requested by the client
Ø Responds quickly to guest inquiries in professional, friendly and efficient manner
Ø Confirms business by collecting deposits, typing Catering Contracts and collecting signed contracts
Ø Accurately input group bookings and event information into Property Management Systems
Ø Assures that all clients’ requirements are effectively communicated internally and completed to meet client expectations
Ø Participates in pre-conference meetings with clients and department heads as necessary
Ø Creates flyers, banquet planner, menus for food & beverage departments
Ø Creates social media presence and monitors websites
Ø Assists with execution of weddings, conferences, events in absence of event supervisor
Ø Attends local networking events as assigned
Ø Suggests, plans and executes staff social events such as staff holiday social, appreciation lunches, retirement gatherings, holiday events
Ø Participates in weekly Communications Meeting with department heads to ensure all details are understood by all
Ø Distributes copies of contracts internally on a weekly basis (every Wednesday) for upcoming week and “next two weeks” along with a typed Function Summary
Ø Practices proper accounting procedures - invoices checked, paid and money collected
Ø Attends and represents the property at trade shows, receptions, and meetings, as required
Ø Maintains updated files and database
Ø Prepares conference and bridal packages for mail-outs
Ø Other duties as assigned by management
**Qualifications**:
- Education_:
Post secondary education in Hotel and Restaurant Management or Hospitality Business Administration with a minimum of two years related sales or event planning experience.
- Skills_:
Strong sales techniques, a passion for events and bringing in business
Strong written and oral communication skills
Strong interpersonal and decision making skills
Proven sales and negotiation skills
Planning and organization skills, with attention to detail
Strong working knowledge of Microsoft Word/Excel/Publisher, Canva
Valid driver’s license and access to a vehicle if required
- Working Conditions_:
Will be required to work some evenings, weekends and holidays.
Willing to participate in Duty Manager roster
Will be required to work in fast paced environment.
- Uniform_:
Casual Business Attire, Non-slip shoes in required areas

**Salary**: $19.00-$23.00 per hour
Expected hours: 35 - 44 per week
