Marketing and Conference Coordinator

Methapharm is a specialty pharmaceutical company that focuses on a wide range of products across many therapeutic areas. The company consists of several specialty portfolios that span across Canada and the United States.
The Marketing and Conference Coordinator is a position that supports Sales and Marketing teams by managing and coordinating the key professional conferences and tradeshows throughout the year. This may also include virtual conferences, KOL meetings/events, and ad hoc events as required. In addition, this position will cover other marketing support projects and cross-functional teams’ collaboration.
This is a contract position for a minimum of 12 months to cover a maternity leave.
This position will report into the Marketing Lead and will be 60% remote, with occasional travel to Brantford or Toronto offices (near Pearson airport), and travel to events as needed.
**Role and Responsibilities**
This position will work closely with the Sales Managers, and Marketing Team to facilitate:
**Conference Logistics**
- Registration for tradeshows and conferences for all sales specialty groups
- Managing logístical aspects for all regional and national conferences
- Shipping coordination of all marketing materials, banners, and booths
- Ordering booth materials/or furniture through show/conference carrier companies
- Facilitating inventory of marketing materials at office and offsite storage
- Maintain/update a spreadsheet or database of current marketing materials, banners, and booths
**Digital Marketing Support**
- Digital marketing support to promote educational events, tradeshows, and conferences on select social media platforms.
- Knowledge of the adobe programs, mainly competency in Illustrator or InDesign, Word and Photoshop would be an asset.
- Previous creative agency work experience is an asset.
**Cross Functional Team Work**
- Assist and support cross-functional teams in sales and marketing
- Manage marketing materials logistics (Tracking pre-and post show delivery, report show performance, inventory updates).
- Support for marketing team with coordination of quotations, printed materials, and shipment to sales forces
- Facilitating payment of invoices through Finance department
- Occasional assistance with set-up/tear-down of booths at local/regional events
- Other duties as assigned
**Requirements and Qualifications**
- 2+ years experience in conference coordination or events planning
- Excellent organizational skills
- Ability to communicate with all levels of employees, clients, vendors, contractors, and other stakeholders, verbally and in in writing
- Ability to work on multiple projects simultaneously without a reduction in accuracy or quality of work product
- Ability to collaborate and work across many cross-functional teams
- Display a positive attitude in all interactions with internal and external customers
- A problem solver and solution driven
- Bilingualism is an asset
