**Job Description**:
Under the direction of the Events Manager, the incumbent is responsible for assisting in the planning, organization, promotion, and execution of virtual, hybrid, and in-person Corporate Events. In accordance with Algonquin College’s Strategic Plan, and under the direction of the Events Manager the incumbent is accountable for the planning, development, management and assessment of the College’s high-profile events. These events reinforce the College’s excellent image and are aligned with the College brand through its corporate positioning, visual identity and corporate messaging. Reporting to the College Events Manager, the role of the Corporate Events Officer is to work collaboratively with other areas of the College to assist the planning, organization, management and assessment of all aspects of the College events. This includes logistics, resource planning, innovation, idea sharing and execution of events in addition to troubleshooting and recommending solutions to the manager. The incumbent will actively seek out feedback following each programmed event and research the ever-changing interests of Algonquin College employees, while staying abreast of industry trends, as well as prepare event reports detailing the evaluation and assessment of all respective events, with a mind to continuous improvement.

Duties and Responsibilities:
Event Coordination and Execution- In conjunction with other College areas and College staff and faculty, the incumbent assists in the planning, development, execution of internal and external high profiles, college-wide events, corporate events, and events for the President’s Office. Considering the key role events play in the overall communications and branding strategy of the College, the Corporate Events Officer will exercise his/her judgment to ensure that events are developed and executed professionally and with the highest standards to ultimately enhance internal communications, augment the College’s image and reinforce the College’s brand in the greater community. These events will also reinforce stakeholder relationships with school boards, business and industry, government agencies, associations, donors and partners.- Will develop a blueprint and critical path for events to ensure appropriate timing and execution of all events.- Attends pre-event planning meetings to discuss assigned tasks- Conducts site visits to support the planning process- Coordinates participant roles- Assists in event day activities, including running last minutes event errands- Troubleshoots basic site issues, escalating to the manager, as required- Supports event set up and take down, including lifting boxes, signage and other required materials.- Participates in post-event debrief, during which event success, challenges and improvements are identified and discussed Work outside of business hours when needed.

Logistics Planning- Requests assistance from College departments in preparation for events e.g. Physical Resources, Information Technology Services, Food Services, etc.- Designs floor plan/event layout, and signage requirements using the College’s- preferred software- Creates online webinars and meetings using College’s preferred software- As part of the overall planning process, the Corporate Events Officer will be responsible for preparing event proposals, drafting scenarios, creating event scripts, and preparing briefing packages for senior executives.- Understands event and stage design, creates floor plans, and works with vendors to execute vision.- Creates Zoom links, Teams groups and meetings, and Eventbrite registrations.- Knowledge of these platforms is essential.- Creates digital assets.

Relationship Building- The incumbent represents the College on external committees and organizations and College committees. As a representative of the Events Public Relations and Communications Department, the incumbent identifies the appropriate public relations and communications protocol and communicates these protocols to committee members in an advisory capacity. In addition, the incumbent will be required to interact with associations, government and non-governmental agencies and college stakeholders.- Liaises with Chair(s), Dean(s), Director(s), and Senior VPA’s and VPSS’ Offices regarding scheduling conflicts, information clarification, and provides recommendations for solutions as required.- A mature attitude with the College’s Core Values top of mind is essential.- The incumbent will research best practices and Event trends- Attend off-site events to make contacts and bring fresh ideas to the College
