**HealthOne Medical - The Well **will be our second boutique medical aesthetics practice to offer premium dermal filler and neuromodulator treatments, micro-needling, PRP injections, Sciton (HALO, BBL, Diva), laser hair removal, and laser skin resurfacing treatments. We are looking for a dedicated professional with a passion for the cosmetic industry, matched with impeccable customer service, interpersonal, and administrative skills

**Job Summary**

In this exciting opportunity, you will play an integral role in ensuring the smooth day-to-day operations of the practice. The key responsibilities of this role will include assisting with administration duties and patient interaction, including but not limited to, scheduling, payment processing & insurance billing, promoting services, and collaborating with the clinicians within your scope, all while ensuring top-notch client service.

**Schedule**

40 hours per week between Monday - Saturday.

**Responsibilities**:

- Engage compassionately with our patients to ensure they feel heard, accommodated, and encounter a 5-star experience at all times.
- Efficiently handle all front desk tasks with pristine attention to detail, including but not limited to appointment scheduling, confirmations, billing and payment, and data entry.
- Contribute to smooth clinic flow and overall success of the business by providing reliable administrative support, adhering to policies & procedures and participating in goal achievement.
- Actively seek out opportunities to improve and expand our patients’ experience in the clinic, while assisting the management team to maximize clinic performance and growth.

**Requirements**:

- 1+ years of administrative experience in the medispa & skin care field
- Strong client service skills and impeccable communication skills
- Solid work ethic, organizational skills and an ability to manage competing priorities effectively while remaining efficient in your delivery
- Self starter, motivated by goals and eager to wear multiple hats in order to grow with us
- Tech savvy and proficient with MS Office (MS Word, Excel, Outlook)
- Ability to work weekends and evenings based on business needs

**Nice to Have**
- Experience using a CRM/EMR, specifically Jane software
- Post-secondary education in Spa Management or similar topic
