Job Summary:
Reporting to the Indigenous Initiatives Strategic Officer in the College of Natural and Applied Sciences (CNAS) the I-STEAM Program Coordinator provides program specific support to the academic leads of the program, ensuring the effective delivery of the program. In all facets of this role, this position endeavors to integrate and advance the University’s commitments to equity, diversity and inclusivity.

Program Operations:

- Maintains accurate records of student interactions, student related decisions and/or actions taken
- Provides administrative support for off-campus courses and field trips
- Creates and maintains spreadsheets and/or databases. Prepares standard and ad-hoc reports on program(s).
- Designs and develops customized reports for specific needs.
- Maintains area/ program records.
- Organizes meetings, conferences, seminars and special events on behalf of the area/program(s).
- Coordinates travel arrangements for supervisor and others when traveling for area/ program business or for recruitment purposes.
- Provides administrative support for standing and special meetings. Coordinates documents and agendas. Anticipates and prepares supporting materials.
- Coordinates Visiting Speaker/Department Colloquia events.
- Serves as recording secretary to area/ program Committees.
- Coordinate effective support delivery to FNMI students at the University
- Assists First Nation, Métis and Inuit students in their academic and personal journey with a holistic lens. (Emotional, mental, spiritual, physical and financial)
- Provide consultative assistance to University faculties and departments relevant to appropriate and effective concepts of internship work with FNMI students
- Acts as the first point of contact for a program or service.
- Responds to specific inquiries about programs from students, faculty, and staff. Provides information on aspects of an academic program to current students (e.g. course inquiries).
- Screens, directs, and processes phone, electronic and in person queries.
- Drafts and/or generates routine communications.
- Manages correspondence for the program or service.
- Reviews and prioritizes daily incoming correspondence and initiates or completes action depending on the complexity of the issue.
- Maintains websites, blogs, or other social media devices. Creates new web pages when required.
- Updates information/ data within the content management system.

Document/Materials Development:

- Proofreads and reformats documents.
- Assists with development, design, and production of publications on program(s) in accordance with established Faculty/ College/ University policies/procedures.

Academic Administration:

- References policy and procedure information to solve issues or concerns (e.g. Faculty APC, GFC).
- Consults with Shared Services as necessary on processes regarding visiting professors, post doctoral fellows, self-funded researchers, guest speakers, research award recipients and visiting students

Other duties
- Initiates purchase requisitions, purchase orders and invoices through SupplyNet. Initiates vendor payments.
- Assists with the administration of petty cash.

**Minimum Qualifications**
- A diploma in business administration or related field.
- Knowledge of the University of Alberta policies and procedures are preferred
- Excellent organizational skills and attention to detail.
- Strong communication (verbal and written) abilities; high level of interpersonal skills.
- Ability to prioritize, take initiative and work independently.

**Preferred Qualifications**
- Priority will be given to Indigenous applicants, defined under Section 35(2) of the Constitution Act, 1982 which defines Aboriginal peoples as Indian, Inuit, and Métis
- Knowledge of and lived experience working with Indigenous Peoples
- Demonstrated understanding of First Nation, Métis and Inuit learners and communities
- A background that demonstrates an appreciation for Indigenous practices, protocols, and ways of knowing

**Salary**: $51,821.52-$70,382.74 per hour

Expected hours: 35 per week
