**Job Profile**:
Your knowledge of space allocation will support the ongoing work of the facility bookings team as you will be responsible for the planning and preparation of facility space allocation along with the development of master schedules for the City’s indoor and outdoor recreational facilities/sports fields.
Working closely with our community sport organizations, sports governing bodies and regional colleagues, this position will serve as a liaison to support sport development and sport tourism within the community and Waterloo Region. This will be achieved through the coordination and delivery of community development functions including outreach, research, networking, training, and evaluation. In addition to your knowledge and experience in space allocation and working with community sport organizations, this position will be responsible for the supervision, safety, development, coordination, promotion and administration of year-round and city-wide offerings of sport specific recreation leagues and drop in programs.

**What you will be doing**:
**Facility Bookings**
- Responsible for the allocation, coordination and scheduling of recreation facilities, sports fields and parks.
- Respond to inquiries from internal and external customers as it relates to facility allocation and seasonal requests for both indoor and outdoor sports facilities.
- Ensure all seasonal allocation timelines are met and contracts are issued and collected in a timely manner.
- Collect Entandem (SOCAN and ReSound) tariff fees and prepare quarterly remittance reports.
- Prepare monthly insurance remittance reports for Finance Department.
- Assist as needed in the preparation of facility permits.
- Support the facility bookings team by responding to customer inquiries regarding permit transactions and customer accounts.
- Monitor and follow up on accounts receivables for facility rentals, program registrations and memberships; Escalate to supervisor as needed.

**Sports Development**
- Work closely with local sport groups as well as provincial and national sporting agencies to ensure the evolving needs of the groups are being understood and considered.
- Provide liaison services with sporting groups to determine current and future needs including facility allocation requirements and the planning of sport and recreational facilities.
- Organizes and attends annual meetings with season permit holders for arenas, ball diamonds and sports fields.
- Serves as the staff liaison to the Arthur White Sports Bursary and Sports Banquet Committees.
- Promotes sports tourism in the City and Region by identifying opportunities to host regional or provincial competitions.
- Implements and maintains the Division’s Affiliation policy, including attending sport organizations annual general meetings.
- Develops and participates in workshops, clinics, and in-service training sessions pertaining to sports development.

**Sports Programming**
- Prepare and implement sports programs that support long term athlete development.
- Responsible for the creation, scheduling and implementation of recreational sports leagues and drop in programs including public skating.
- Responsible for the City’s skate and helmet rental program.
- Hires and supervises a team of part-time program staff dedicated to league and drop in program operations. Supervision duties include, but are not limited to, recruitment, selection, training, scheduling and performance evaluation.
- Assist in developing policies, guidelines, and operating procedures for sports programs and other areas as assigned.
- Prepare budget recommendations for assigned areas of control and monitor expenditures against approved budgets.
- Responsible to ensure that due diligence is carried out in all areas of risk management, health and safety as they relate to program operation.
- Represent sport interests and work cooperatively with other City divisions during the planning and implementation of strategic master plans, studies and annual work plans.
- Notifies Supervisor of any staff or facility allocation related issues.
- Assist in the development and documentation of policies, guidelines and standard operating procedures for facility booking, maintenance, public space allocation, event coordination, promotions coordination and related processes.

**Education**:

- Two year College Diploma in Recreation and Leisure

**Experience and Knowledge**:
A minimum of 3 years progressive experience covering the following:
Experience in the planning, implementation and monitoring of recreational sports programming including sports leagues.
Experience in space allocation and facility bookings.
Experience in community development, community engagement, partnership development and capacity building, preferably in a sports environment.
A minimum of 1-year experience with Facility Bookings, Administration, and Point of Sale modules in Activenet or a similar software (Legend, CLA
