The School District has 110 educational sites and over 8,000 employees, represented by 14 bargaining units and exempt staff. **Responsibilities will include**:
providing complex and confidential administrative support to senior team members

preparing, distributing and taking confidential minutes in accordance with the Board Policies and Freedom of Information and Protection of Privacy (FIPPA)

managing administrative services of the office; anticipating daily needs, organizing/compiling accurate materials, ensuring security of confidential and restricted documents and information; complying with the Ministry of Education requirements and VSB Administrative Policies

coordinating and prioritizing meetings with the School District staff, partner groups, provincial and municipal elected officials, stakeholders and business leaders

coordinating meetings with Indigenous rightholders

providing support for the Board of Education, as needed

coordinating a number of District Leadership activities and schedules

researching and preparing information on a variety of assigned topics

managing office correspondence and communications

organizing and maintaining document filing and records

working collaboratively with other departments

planning and arranging an annual schedule of meetings

drafting briefing notes/presentations/letters

proofreading sensitive documents

supporting the senior leaders in overseeing portfolios and budgets and assisting in the budgeting process for various programs

conference registrations and coordinating/reconciling travel requirements

Your collaborative approach and ability to take initiative, along with excellent communication skills will allow you to support a multi-faceted department and deal effectively with unique situations, as well as respond to questions.

Your experience includes a minimum of two years as a public sector professional or extensive experience as an Executive Assistant. You have a Degree or Diploma in Office Management, Leadership, Accounting, Technology and/or other related fields as well as experience in a large public sector, multi union environment.
