**Job Summary**:
Reporting to the Program Manager, the Seniors Community Programs Administrative Lead is responsible for providing confidential administrative support and services to the Administrator and Management team in a fast paced, in-person service environment. Assumes the lead in scheduling, monitoring and developing internal business practices to support consistent business operation of satellite and community hub settings. Collaborating with internal and external community service providers, the Lead ensures adherence to building requirements through the completion of operational logistics (i.e. agreements, scheduled room use, implementation of established emergency response procedures and technology). Works collaboratively with existing programs and services internal and external to the organization to support business analysis and project management activities. Ensures documented practices of program processes and systems are maintained and updated and provides audit control validation for related data, billing and provincial reporting requirements.

**Education**:
**Knowledge**:

- Experience providing administrative support within a similar environment, such as municipal/public/non-profit sector, day program, community and/or seniors support services environment (or similar) is an asset
- Knowledge of web-enabled systems (i.e. CRMS, MIS/OHRS, IAR, HPG) is preferred
- Knowledge/experience with AODA (Accessibility for Ontarians with Disabilities Act) document compliance

**Responsibilities**:

- Review various Ministry sites to obtain information updates and flag requirements and process solutions to the Administrator (i.e. Health Data Branch and/or Ontario Health policy, legislation, directives) that inform business process and compliance expectations.
- Prepare analytical calculations and observational assessment related to budget, performance targets, data trends (i.e., lost days, cancellation rates, referral sources) with applicable program managers.
- Collect, audit, and analyze financial, statistical data, and client documentation; identifying gaps in program outcomes to responsible manager, and preparing and/or inputting to required Ontario Health reporting.
- Ensure consistent use of tracking tools and report requirements across program portfolios is centralized, updated, and completed accurately (i.e. OHRS, Monthly Finance variance reporting, Balance Score Card, Quality Improvement Plan, incident and complaint tracking, staff training). Variances are flagged quarterly to the leadership team.
