**Position Summary**

The Vendor Assistant partners closely with the Resource Director and linguist team by supporting them through undertaking administrative job duties. They are responsible for supporting the team in building a sustainable resources base and relationships and optimising processes in their field of duty.

**Principle Responsibilities and Duties**
- Facilitates the hiring of qualified resources for open positions in the internal team and collaborates with the Resource Director and the linguists to understand skills and competencies required for openings.
- Facilitates the sourcing of freelancers for our external team based on upcoming needs for translation demands.
- Provide administrative support for the onboarding of new linguists (internal and external) through the creation of profiles, gathering and validating credentials, and coordinating interviews, calls, communications, etc.
- Works within the Translation Management System (Plunet) to ensure accuracy and manage the general resources database.
- Collate data and generate reports to help the resources team by tracking performance, monitoring KPIs, and other dashboards based on the direction of the Resource Director.
- Establish active communication and engagement with the Resource Director to help out where necessary.
- Completing various activities, attending events, supporting administrative tasks including, procedure documentation, and ordering office supplies.
- Assisting with the facilitation and scheduling of meetings and events, including technical support and the preparation of presentations.

**Qualifications**

**Education**:

- College diploma, university degree or equivalent
- Bilingual (French / English)

**Experience and Proficiencies**:

- 3+ years of experience in a similar role, or administration, or office/project management.
- Proficient in Microsoft Suite (Word, Excel, Powerpoint) and Google Suite (Gmail, G-drive).
- Experience in the Translation / Localization industry.

**Skills and Abilities**:

- Superior organizational skills - strong aptitude for time management, goal setting and understanding how to meet requirements.
- Very strong work ethics and interpersonal skills essential to develop trusted relationships.
- Able to work on multiple projects simultaneously, meeting tight deadlines, managing changing priorities, and working under pressure.
- Methodical, analytical and resourceful with strong attention to detail.
- Excellent written and verbal communication skills in French and in English, is a must.

**Hours of Work**
- Alexa Translations' hours of operation are 9:00 am - 5:30 pm Monday to Friday EST (Eastern Standard time - Eastern North America)
