As an **Administrative Assistant** at The Dream Factory, your exceptional attention to detail and strong organizational skills will play a vital role in supporting our day-to-day operations. You will ensure the smooth functioning of our office while prioritizing tasks related to donation processing, administration, and data entry into QuickBooks. Your meticulous approach will directly impact our ability to fulfill dreams for children and families. **RESPONSIBILITIES**
- Process donations, including recording and acknowledging contributions promptly and accurately.
- Maintain and update donor databases, ensuring accurate and up-to-date information.
- Enter financial transactions into QuickBooks and reconcile accounts on a regular basis.
- Provide general administrative support, including managing calendars, scheduling meetings, and coordinating logistics for events and dream fulfillments.
- Organize and maintain physical and electronic files, ensuring easy retrieval of documents when needed.
- Assist with volunteer management, including maintaining volunteer records and coordinating volunteer schedules.
- Assist in the administration of fundraising campaigns, including coordinating mailings, donor follow-up, and acknowledgment letters.
- Collaborate with the team to support various projects and initiatives, offering administrative assistance as required.
- Maintain office supplies inventory and order replenishments as necessary.
- Ensure the confidentiality and proper handling of sensitive information.
- Other duties as assigned.

**REQUIREMENTS**:

- High school diploma or equivalent; additional certification or coursework in office administration is a plus.
- Proven experience as an Administrative Assistant or in a similar role, preferably in a non-profit setting.
- Excellent attention to detail and organizational skills, with the ability to prioritize tasks effectively.
- Proficiency in using office software, including Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong knowledge and experience in QuickBooks or similar accounting software.
- Experience working in customer relationship management (CRM) database systems, including non-profit donor databases.
- Excellent data entry skills and the ability to maintain accurate and detailed records.
- Exceptional verbal and written communication skills, with the ability to interact with diverse stakeholders.
- Ability to handle sensitive and confidential information with integrity and professionalism.
- Strong problem-solving skills, with the ability to anticipate needs and find creative solutions.
- Proactive and self-motivated, with the ability to work independently and collaboratively as part of a team.
