CADTH is Canada’s drug and health technology agency. We’re a not-for-profit organization headquartered in Ottawa, with a satellite office in Toronto. We’re funded by Canada’s federal, provincial, and territorial governments, with the exception of Quebec, to provide independent information and advice to the country’s publicly funded health care systems. Health administrators and policy experts rely on CADTH to inform their decisions about the funding and appropriate use of the drugs, devices, and services used to prevent, diagnose, and treat medical conditions.

Primary Focus
The Events Planner assists with the planning and delivery of CADTH’s annual Symposium and other events; and tracks, coordinates, and supports CADTH’s participation in national and international conferences, events, and speaking opportunities. The full range of events includes but is not limited to the annual CADTH Symposium, summits on specific topics, the lecture series, information sessions, workshops, and webinars.

**On any given day, the Events Planner will**:

- plan and provide logístical support for the annual CADTH Symposium including contract negotiations, booking rooms, catering, supporting the abstract submission process, and organizing contents of the delegate kit
- manage hybrid presentations and a digital program on a virtual event platform
- manage invitations, registration processes, shipping of materials, and booth administration and logistics (including coordinating setup and staffing of booths)
- provide input for the Symposium and event budgets, reconcile expenses, and keep track of all associated event costs, including payment requests, invoicing, and reporting
- attend and close out events by ensuring the return of CADTH property
- manage travel awards, recognition awards, and abstract submission and review processes (including communicating with participants)
- support the work of Symposium-related committees, including the Program Advisory Committee, the Abstract Review Committee and the Recognition Awards Committee by coordinating meetings, providing materials, and compiling responses and comments
- liaise with Marketing and Communications to organize and coordinate promotional materials, website content, and registration processes
- plan and deliver engagement and social activities for attendees in consultation with the Special Assistant to the President and CEO
- compile and provide a summary of input and evaluation results after events to support future event planning
- oversee the work of external consultants, moderators, and room attendants as required.

Is this the right role for you?

**The Events Planner will likely have**:

- completion of postsecondary education in Marketing, Communications, or Business Administration, plus at least 3 to 5 years of related event-planning and tradeshow experience
- exceptional organizational skills to assist in identifying and executing both day-to-day activities and larger-scale initiatives
- strong attention to detail and ability to focus on multiple projects, multitask, work well under pressure, and meet deadlines
- the ability to work well under pressure and shift priorities to meet requests and deadlines
- strong oral and written communication skills and good interpersonal skills with the confidence needed to establish good working relationships with internal staff and external stakeholders and partners
- the ability to work independently and develop their own work plans for assigned activities
- intermediate computer skills using Word, Outlook, and Excel, as well as experience working with databases and a virtual event platform
- the ability to be a team player and work effectively and autonomously
- demonstrated experience in dealing with people professionally, maintaining a high level of confidentiality and ensuring discreet handling of all business.
