**SCOPE OF POSITION**

The Travel and Housing Coordinator supports our operations team by planning and coordinating cost-effective and sometimes complex travel arrangements for all Mud Bay Drilling personnel. This includes travel by air and ground, and accommodation at various company rental housing units and at third-party hotels and camps. The Travel and Housing coordinator acts as a liaison between the operations team and booking agents, which requires close monitoring and attention to detail as project schedules change.

**OVERALL GOALS FOR POSITION**
- Ensure logistics and accommodation is provided to all personnel (for example flight itineraries)
- Conduct cost assessments of all travel and logistics bookings to ensure efficient and cost-effective travel arrangements.
- Build and maintain relationships with our travel and training service providers

**ROLES, RESPONSIBILITIES and EXPECTATIONS**

**Travel & Housing Coordination**
- Liaise with operations and track schedule changes to inform what bookings and reservations need to be made and/or updated.
- Ensure all travel and logistic arrangements are made, communicated to appropriate personnel, tracked, updated and paid for, including:

- Flights; make changes to bookings as required and maintain a flight inventory.
- Ground transportation, including rental trucks as required and maintaining an inventory.
- Reserve hotel and camp rooms; make changes to reservations as required and maintain a room inventory.
- Coordinate regular mailouts of schedules, site activation and travel and accommodation updates.
- Ensure invoices are tracked and submitted to accounting.
- Ensure all new hires are contacted with travel information.
- Conduct ongoing research and cost assessments of all travel bookings (hotels, camps, housing, air and ground transportation, etc.) to ensure that the most cost-efficient bookings are made; coordinate service agreements and company accounts with merchants to facilitate booking processes.
- Coordinate corporate event bookings and logistics in conjunction with the Office Manager.
- Some evening and weekend work as required (from home) Company laptop provided.

**Administration**
- Welcome visitors by greeting and directing them appropriately; notify company personnel of visitor arrival.
- Other Responsibilities as Required

You will be expected to take on other duties and responsibilities not specified above, as required, and as the business necessitates. They could be on an occasional, vacation relief or ongoing basis, and it will be expected that they will be completed as assigned and prioritized.

**SKILLS, QUALIFICATIONS AND EXPERIENCE REQUIRED**
- A post-Secondary Diploma/Certificate from an accredited college, university or technical institution is an asset
- 2+ years of relevant experience in travel or logistics coordination and/or administrative experience
- Ability to work outside of regular business hours
- Exceptional organizational skills with the ability to work efficiently and maintain a high degree of accuracy.
- Demonstrated ability to prioritize tasks and identify problems and provide potential solutions.
- Excellent written and verbal communication skills.
- Strong interpersonal skills with the ability to develop and maintain relationships with clients, suppliers and partners.
