**SPECIAL EVENTS PLANNER (CANADA SUMMER JOBS - 8 WEEK TERM)**

**Reporting to Marketing & Events Coordinator**

**Department**: Marketing/Events/Fundraising

**Hourly Rate**:$17/hour

**Hours/Week**:35-hours a week; Monday - Friday; 10:00am - 5:00pm

**Work Term**:8 weeks; July 2nd - August 22, 2024 (8 weeks - 280 hours)

**Description**:
Home Suite Hope (HSH) is a non-profit agency located in Oakville that provides wraparound services to assist single parent families break the cycle of poverty in the Halton Region.

i. Be between 15-30 years of age, at the start of the funded position.

ii. Be a Canadian Citizen, permanent resident, or someone to whom Refugee Status has been granted/conferred.

iii. Have a valid SIN

iv. Must be available to work the full work term July 2, 2024 - August 22, 2024
- International students, and those who are here in Canada on a work, youth, or visitor visa/permit are not eligible for the program.

**PRIMARY RESPONSIBILITIES**
- Support the Marketing and Events Coordinator with the planning and preparation for Home Suite Hope's signature event, Empty Bowls, a fundraising event in support of Home Suite Hope single-parent led families and their children on their journeys from poverty to stability, and other events/initiatives as needed
- Support event planning committees with administrative tasks, including organizing the meetings, taking meeting minutes, etc.
- Work with lead to develop any marketing and promotional materials for the event
- Inquire with local vendors and partners to secure sponsorships, in-kind donations, and foster ticket sales
- Update database of all involved vendors and partners, such as contact information, items provided and value, feedback provided, etc.
- Assist with planning the logistics of the event, including ticket sales and location coordination
- Keep updated tracking of event materials and inventory
- Supporting the Marketing & Events Coordinator with logístical and administrative support;
- Work in compliance with the provisions of the Occupational Health & Safety Act and its regulations;
- Attends events and planning meetings as needed;
- Volunteer coordination
- Other duties as assigned.

**QUALIFICATIONS**
- Pursuing a post-secondary education in Event Management, Marketing or related field;
- Demonstrated success working in a team environment and also have the ability to work independently;
- Strong ability to problem solve and reach sound resolutions;
- Excellent interpersonal, customer service and communication skills;
- Highly motivated and organized with a strong attention to detail;
- Knowledge of MS Office (Word/Excel), social media platforms, Canva;
- A criminal records check is required;
- Access to a reliable vehicle for occasional travel within the local area preferred but not required;
- Office environment with occasional requirements to work outside of regular office hours (occasional weekend events);
- Works outdoors and exposed to elements during key events;
- Lifting, moving materials under 25 lbs

Contract length: 8 weeks

Pay: $17.00 per hour

Expected hours: 35 per week
