Management Support Specialist, CDMR
**Category**:Business Support & Administration**Location**:Mississauga, Ontario, CA**Purpose of the Job**
- The Management Support Specialist is responsible for supporting the Vice President in the implementation and follow-up on strategic and operational priorities.**KEY AREAS OF RESPONSIBILITY**
**Vice President Support (60%)**
- Support Vice President with day-to-day tasks with a focus on proactively improving department operation (“being the right hand person for the Vice President”)
- Development of draft Vice President ad hoc presentations and reports
- Project management of assigned projects
- Proactively identify areas of opportunity and efficiency through data-driven analysis
- Acting as a liaison between Vice President and direct reports and make appropriate decisions on behalf of Vice President within provided authority
- Liaise with management leadership team on behalf of the VP
- Support the VP in developing competencies and capabilities for Department leaders and employees.
**Department Operations Management (25%)**
- Manage annual department activity schedule (annual wheel), assign tasks and track completion
- Schedule management meetings, take meeting minutes and record/track action items
- Edit communication templates and be the anchor person for department internal communication
- Monitor SOP assignment and track compliance in ISOtrain for department employees
- Contribute to the development of the Department Strategy2Action Scorecard and monthly performance reporting of the Balance Scorecard if require
**Department strategic initiatives and Projects (15%)**
- Support the development of the department strategy in collaboration with Vice President and leadership team. Manage communication plan to ensure strategy is effectively communicated and cascaded through department as well as to other cross-functional teams within Novo Nordisk
- Track performance of department strategic projects
- Lead various key department projects. Responsible for resource planning, task delegation, progress reporting and milestone completion
- Prepare with the department management team, the annual Organizational and Talent Review
- Follow-up on eVolve within the department including follow-up on action plans
**KEY COMPLIANCE ACCOUNTABILITES**
- Compliance with the Novo Nordisk Way
- Compliance with Standard Operating Procedures (SOP’s) for Department
**GOALS**
- Proactive, resourceful and able to support and prioritize needs of VP
- Leadership with humility and able to collaborate with result driven mindset
- Professional, timely and proactive submission of reporting and requests to the Vice President
- Strong with data and able to leverage data into meaningful intelligence to support VP
- Value-added project management with successful outcomes
- Creates and maintains effective workflow and communication to accomplish the work of the office of the Vice President by handling a variety of projects and task simultaneously
- Maintains confidentiality, professionalism, tact, diplomacy and respect during work at all times
**EDUCATION (MINIMUM REQUIREMENTS)**
- Master’s degree in business administration or other relevant area
**EXPERIENCE (MINIMUM REQUIREMENTS)**
**Experience**:
- Participation in rotational leadership development program preferred but not required
- Experience improving and streamlining processes
- Experience preparing executive summaries and presentations
- Experience leading projects from concept to delivery stage
**Skills & Abilities**:
- Polished and professional written and verbal communication skills
- Strong business acumen and collaborating with all levels of the organization
- Strong project management skills and exposure to project-based work
- Outstanding analytical and problem-solving skills and ability to multitask
- Ability to think both creatively and strategically
- Proactive, flexible, adaptable, results-focused and driven
**Language**:
- Bilingualism would be a benefit
