**Description**

The Executive Assistant position is a dynamic, fast paced role that provides primary support to the Executive accountable for the functions of CFO and COO. You will provide additional support to the General Counsel & Chief Privacy Officer, and calendar and expense support to the VP, Operations and VP Finance. The role requires exceptional organisational and prioritization skills with strong time management. Excellent written and verbal communications skills and the ability to use good judgement and discretion in handling highly confidential information. A sense of humour and ‘can-do’ approach is also essential.

What you'll do:
Complete a wide variety of administrative tasks that facilitate the Executives’ ability to effectively lead the organization including:

- Serve as the primary point of contact for internal and external inquires on all matters about the CFO / COO, including those of a highly confidential and critical nature. Prioritize and determine the appropriate course of action, referral, or response, exercising judgment to reflect the CFO /COO’s style and Bond’s organizational practices.
- Assist with special projects for the CFO/COO and General Counsel; designing and producing complex documents, reports, and presentations; collecting and preparing information for meetings with staff and outside parties; composing and preparing correspondence; maintaining contact lists.
- Arrange and handle all logistics for Board meetings and associated events: schedule meetings; develop, compile, and distribute presentation materials.
- Compose NDAs and distributed to the correct recipient for signing
- Liaise with external vendors, partners, clients on behalf of the Executives
- Create and prepare agenda materials. Managing meeting minutes as required and follow-up documentation/ distribution.
- Build good working relationships with the EA community to coordinate the CFO /COO and other executive's outreach activities. Follow up on contacts made by to cultivate ongoing relationships.
- Organize meetings, events, travel, conference calls - including the logístical elements of booking rooms, ordering catering, etc.
- Manage confidential files, including employment files, legal and financial documents
- Purchase Order generation/receiving, and approvals as required.
- Complete expenses for supported Executives.
- Oversee the first review of expense reports, arranging for sign-off and submission to Finance

What you have:

- At least 5 years of experience in an administrative or project management role supporting multiple senior level executives, to C-suite level, handling highly confidential information with discretion and in a fast paced, client driven organisation.
- Expert proficiency with Microsoft Office and desktop publishing software including PowerPoint; with the ability to design and edit graphic presentations and materials.
- Strong verbal and written communication skills.
- Exceptional organizational skills and exceptional attention to detail.
- A high degree of professionalism in dealing with internal team members and external groups including Board members, senior executives, clients, and partners.
- The ability to make appropriate, informed decisions regarding priorities and available time.
- Ability to work in a fast paced, evolving environment with a high volume of tasks and projects with little or no guidance.
- Ability to assess and respond with appropriate levels of urgency to situations and events in a timely manner.
- Able to maintain a high level of integrity and discretion in handling confidential information.
- Excellent judgment is essential.
- Ability to plan and adapt with a ‘can-do’ approach and the ability to thrive in a fast-paced environment.
- Experience supporting financial function in an organisation is beneficial.
