**EXECUTIVE ASSISTANT**

FULL TIME

70 Bi-Weekly Hours| Non-Union| Days Shift

Baycrest provides care to approximately 1,200 people daily, through a continuum of services that includes wellness programs, residential housing and outpatient clinics, a 472-bed nursing home and 300-bed continuing care hospital facility with an acute care unit.

Baycrest combines a comprehensive system of care for aging patients with one of the world’s top research institutes in cognitive neuroscience, dedicated centres focused on mitigating the impact of age-related illness and impairment, and unmatched global knowledge exchange and commercialization capacity brought to the international marketplace.

We have an exciting and challenging opportunity for an Executive Assistant in the Executive Office. Reporting to the Manager, Executive Office, the Executive Assistant will provide executive-level support to three Senior Executives.

**Responsibilities include but are not limited to**:

- Provides senior administrative support to the Manager, Executive Office.
- Provides support to divisional, corporate and Board level committees including meeting coordination, minutes and preparation and the distribution of materials and agendas.
- Coordinates/maintains electronic calendar/schedule including arranging for catering, room and equipment bookings and proactively preparing materials for meetings.
- Prepares and/or finalizes a variety of business documents including briefing notes, memos, reports, proposals and presentations for various stakeholder audiences.
- Provides support to divisional management meetings, including organizing agenda, assigning action items and monitoring action resolution.
- Drafts, edits and distributes complex correspondence.
- Establishes and maintains accurate electronic and hardcopy filing systems.
- Ensures payroll timesheets are accurately completed and submitted in a timely manner.

**Qualifications include but are not limited to**:

- Five (5) years’ experience in executive administrative support capacity, healthcare sector experience preferred.
- Post-secondary education in a related discipline or the equivalent combination of education and work experience.
- Advanced-level Microsoft Office skills including Word, Outlook, Excel, PowerPoint and Publisher, as well as Adobe XI Pro.
- A keen ability to troubleshoot computer and technology issues as they arise.
- Superior verbal and written communication skills.
- Excellent time management skills and the ability to prioritize workload and work within a fast-paced, deadline-driven environment.
- Demonstrated ability to use tact and diplomacy in dealing with sensitive and confidential matters.
- High level of accuracy and attention to detail.
- Ability to work effectively under pressure with multiple changing priorities.

**Requirement**:

- Able to remain accessible outside of standard hours of work including evenings and/or weekends as specific circumstances may require
