**The Opportunity**: Located in the heart of the financial district at the Sun Life Building in downtown Montreal, this position will be a part of the Property Management team supporting the building and will report directly to the Property Manager. We are looking for someone who will bring a strong sense of commitment and dedication in providing administrative and tenant service support to our clients and members of the team. **What You Will Do**:
**General Office Support**:

- Effectively and professionally greet and communicate with all visitors to the office.
- Handle internal and external requests and inquiries following company guidelines, procedures, and policies; ensure information is forwarded to the applicable manager for any required follow-up.
- Always maintain a professional appearance of the reception area and boardrooms.
- Coordinate boardroom reservations.
- Ensure adequate levels of office supplies and stationery and place replenishment orders when necessary.
- Ensure all office equipment is in proper working order; arrange for immediate repair/servicing of any malfunctioning equipment (coffee machine, printer, etc.);
- Open all incoming mail and courier packages, date stamp all items and distribute them to the recipients.
- Arrange all outgoing courier packages.
- Provide general administrative support (for all managers and the property administrator within the portfolio).
- Other duties as required.

**Operational Support**:

- Respond to telephone and electronic service inquiries from tenants.
- Using the software Angus, open and/or follow up on tenant service requests.
- Coordinate the purchase orders as requested by team members.

**Conference Center**:

- Replace and support the Client Services Coordinator occasionally.

**Who You Are**:

- 3+ years’ experience in customer services and/or administrative functions
- Post-secondary education
- **Superior oral and written communication and presentation skills;** an ability to develop and sustain cooperative working relationships at all levels; ability to exercise confidentiality; displays enthusiasm and has a desire to learn; team player.
- **Strong organizational/multi-tasking skills** - ability to allocate one's time effectively, work under pressure and manage tight deadlines; ability to handle multiple demands and competing priorities and adapt to new ideas and constant changes.
- **Computer Skills** - Intermediate knowledge of Microsoft Office; particularly Outlook, Word and Excel.
- **Bilingual **- Excellent oral and written French and functional English due to frequent communication with tenants, customers and colleagues in other Canadian offices.
- **Police Clearance**:A criminal verification check is required for employment.
