We are a fast-growing startup in the behavioural health industry, dedicated to providing innovative and accessible mental health solutions. Our mission is to improve the well-being of individuals by leveraging cutting-edge technology and evidence-based practices. We are seeking a dynamic and proactive Executive Assistant to support our executive team and contribute to our mission.
Reporting to the Chief Executive Officer, Bowline Health, the Executive Assistant, will play a crucial role in the efficiency and effectiveness of the executive team. They will provide comprehensive administrative support, manage schedules, coordinate meetings, and handle various projects. Their ability to anticipate needs, think critically, and offer solutions will be the key to success in this role.
**Role Specific Accountabilities**
- Provide high-level administrative support to the executive team, including calendar management, travel arrangements, and expense reporting.
- Provide project management oversight, keeping the teams accountable to deadlines.
- Coordinate and prepare for meetings, including agenda setting, minute-taking, and follow-up actions.
- Act as a liaison between the executive team and internal departments, ensuring smooth communication and collaboration.
- Assist in the preparation of reports, presentations, and other documents.
- Handle confidential information with discretion and integrity.
- Support the planning and execution of company events and initiatives.
- Contribute to the development and implementation of administrative processes and systems.
- Assist with ad-hoc projects and tasks as needed to support the executive team and company goals.
**Qualifications**
- Bachelor's degree or equivalent experience.
- Proven experience as an Executive Assistant or similar administrative role, preferably in a startup or fast-paced environment.
- Excellent organizational and time-management skills, with the ability to prioritize tasks effectively.
- Strong communication and interpersonal skills, with the ability to interact professionally with all levels of staff and external stakeholders.
- Proficiency in Microsoft Office Suite and other productivity tools.
- Ability to handle confidential information with discretion.
- Flexible and adaptable, with the ability to thrive in a dynamic and changing environment.
- A proactive approach and a strong sense of initiative.
- Understanding of Twelve Step programs and recovery helpful.
