Accounting & Admin Assistant

Total Transload Services is a bulk material handling and logistics company based out of Sturgeon County in Alberta. We provide customized transloading, storing and delivering solutions to all of our clients.
The Administrative Assistant will assist all managers with their daily tasks and operations. This position is generally varied, including complex administrative duties and project-oriented assignments requiring the use of sound judgment and discretion, independent assessment, and resolution of complex situations/problems.
**Key Responsibilities**:
- Coordinates and maintains manager’s calendars and schedules using knowledge of priorities and relationships to respond to requests for meetings, and schedules appointments and meetings.
- Coordinates and organizes daily schedules, ensure appropriate materials and background are prepared for meetings.
- Collects and prioritizes discussion items for meetings, prepares agendas and minutes.
- Follows up on action items from the leadership team and staff meetings or commitments made by General Manager and operations manager.
- Assist with department meetings including scheduling meetings, tracking deadlines, ensuring meeting materials are available, preparing meeting agendas, recording and distributing meeting minutes as required.
- Reviews, sorts and prioritizes all incoming correspondence and mail.
- Coordinates with other internal stakeholders for information or requirements of the General Manager and operations manager's office.
- Drafts general correspondence for signature as required and reviews all documentation for General Manager and operations manager’s signature.
- Prepares presentations and materials as required.
**Qualifications**:
- Diploma in Business, Administration, or related discipline required. Certificate plus experience may be considered.
- Minimum 1 to 2 years experience in a Administrative Assistant role working with Executives is required; preferably in non-profit and/or public sector.
- Experience working with Boards is required.
- Experience supporting C-Level Executives is considered an asset.
- Knowledge/experience in finance is considered an asset.
- Exceptional computer skills and excellent knowledge of MS Office Products
- Exceptional written and oral communication skills.
- Excellent resourcefulness, initiative and professionalism.
- Able to build and maintain lasting relationships with corporate departments and key external stakeholders.
- Able to deal with people sensitively, tactfully, diplomatically, and professionally at all times.
- Attention to detail in all areas of work.
- Strong attention to detail.
- Ability to work hours outside of regular office hours as required including weekends.
- Access to a vehicle is required.

**Salary**: $40,000.00-$55,000.00 per year
