Resident Services Coordinator

**ACCOUNTABILITIES**:
Private Pension Partners Realty Services Inc. (“P3 Realty”) is seeking an experienced Resident Services Coordinator to join our team. The Resident Services Coordinator will ultimately report to the Senior Property Manager, with duties aligned to the Vice President, Realty Services during the lease-up period of all P3 Realty managed multi-residential properties. The Resident Services Coordinator is responsible for elevating the guest and resident experience at The Halo and providing value-adding services that will differentiate The Halo in the Winnipeg market. The Resident Services Coordinator is the champion of resident relations and engagement programs at the property, which includes assistance in planning and execution of resident appreciation events and community-building activities, with a consistent focus on fostering and improving resident relationships and the resident experience.

As Resident Services Coordinator, your initiative and excellent customer service will foster a sense of community and comfort at The Halo, making apartment living experiential for tenants. You will represent the face of The Halo, will be the first point of contact for visitors and residents, will provide tenants with warm and personalized service, and champion the availability of The Halo amenities.
The Resident Services Coordinator is a vital element in The Halo’s elevated experience offering. This individual has a dynamic personality and is energized by interactions with others. They are warm in their interactions and aim to please. This person is patient, accommodating, prides themselves on having excellent customer service and communication skills, and is driven to succeed.
**RESIDENT RELATIONS AND CUSTOMER SERVICE RESPONSIBILITIES**:
- Demonstrate The Halo standards in every interaction with tenants and service providers and ensure that all Halo standards of service and operation are adhered to;
- Monitor the maintenance and cleanliness of the lobby, hallways, common spaces, and amenity spaces;
- Oversee all aspects of resident services in the daily operation of The Halo, ensuring the highest level of resident satisfaction;
- Provide exceptional concierge information to residents and stay up to date with relevant information regarding the area, activities, events, etc.;
- Develop and maintain strong relationships with local area vendors, concessionaires, local community, and counterparts;
- Develop and maintain strong relationships with residents to ensure comfortability and loyalty;
- Make an effort to contribute to the overall strategic goals, initiatives, and objectives of P3 Realty;
- Propose and facilitate cost-effective resident experience enhancements. Direct and execute approved plans and programs for The Halo in accordance with P3 Realty and Senior Property Manager directives;
- Create and post marketing content for The Halo social media platforms and showcase/highlight the property amenities and events that may occur;
- Conduct touch point surveys with tenants to determine potential opportunities for improvement;
- Establish a comprehensive knowledge of the Halo including availability of suite types and layouts, common areas and amenities of the property;
- Report on disputes, requests, acknowledgements, and inquiries on a weekly basis to on-site Junior Property Manager;
- Assist property managers to identify tenancy issues which may affect vacancy, turnover, and other tracked building performance metrics;
- Uphold mission, vision, and values of P3 Realty, serving as a brand ambassador to all stakeholders.
- Report on disputes, requests, acknowledgements, and inquiries on a weekly basis to on-site Junior Property Manager;
- Assist property managers to identify tenancy issues which may affect vacancy, turnover, and other tracked building performance metrics;
- Uphold mission, vision, and values of P3 Realty, serving as a brand ambassador to all stakeholders.
**LEASING RESPONSIBILITIES**:
- Present properties and amenities in a positive light to secure the rental agreement. Negotiate lease terms, conditions, and close the deal;
- Provide a professional and personable leasing experience to our prospects throughout the lead to lease process;
- Determine the needs, living standards, and economic viability of customers in order to match those needs to a property within the P3 Realty portfolio;
- Host private tours and open houses which will include some evening and weekend commitments;
- Assist on display suite setup and do daily cleanliness checks for all display and/or vacant suites;
- Draft and produce all lease documentation, including new lease agreements, renewals, amendments (extensions and relocations), assignments, and credit/background checks. This includes monitoring and tracking timelines to ensure each document moves through the process successfully and efficiently;
