Hi I’m Sarah Chamberlin, the CMO and VP, Community Giving and Engagement at the Centre for Addiction and Mental Health (CAMH) Foundation. I joined the Foundation in 2019 to be able to contribute to inspiring philanthropy that enables leading-edge care, research and education at CAMH. I’m personally very connected to our cause and inspired by the work of my colleagues throughout the Hospital and Foundation. We have much to do to transform the way we understand and treat mental illness through advancing discovery and innovation, building spaces that promote recovery and breaking down the stigma of mental illness. Philanthropy and fundraising are key contributors to ensuring this important work happens.

My team is responsible for ensuring our unrestricted revenue stream of funds grows over time - we have clear goals and an open mind on how to achieve them. My leadership team and I are looking for an organized Executive Assistant who thrives in a multitasking and supportive role. You will be working closely with the Marketing and Community Giving team to mobilize and support them so they are able to do their best work. The Centre for Addiction and Mental Health (CAMH) is Canada’s largest mental health teaching hospital and one of the world’s leading research centres in its field. With a dedicated staff of more than 3,000 physicians, clinicians, researchers, educators and support staff, CAMH offers outstanding clinical care to more than 34,000 patients each year. The organization conducts ground-breaking research, provides expert training to healthcare professionals and scientists, develops innovative health promotion and prevention strategies, and advocates on public policy issues at all levels of government.

CAMH Foundation is charged with raising and stewarding funds in support of CAMH. Its role is to help transform the way we understand and address mental illness by raising awareness and increasing engagement across the country. Generous and dedicated supporters help CAMH advance discovery and innovation, build spaces that promote recovery, and break down the stigma of mental illness.

The Executive Assistant will report to the Chief Marketing Officer & VP, Community Giving and Engagement, and ensure the effective day-to-day administrative functioning of the Marketing departments, leadership teams, and strategic projects.

**The Opportunity**:

- Managing day-to-day functions of the offices of the Chief Marketing Officer (CMO) & VP, Community Giving, including calendar coordination, correspondence, special projects, meeting preparation and recording, as well as any administrative tasks to ensure the office operates in an effective, efficient, and well-organized manner.
- Supporting the Marketing and Community Giving leadership teams (~5 Directors) on projects and campaign launches by preparing meeting materials, briefing documents, and information packages as needed.
- Performing department-specific responsibilities that may include, but are not limited to, work and support required in the lead up and post-campaign launches.
- Coordinating Board and committee reports, communications, and scheduling for the CMO & VP, Community Giving.
- Maintaining and cultivating positive relationships with internal and external stakeholders, including, but not limited to, the Executive Committee, Foundation colleagues, hospital partners, etc.
- Serving as the conduit between internal teams for approvals, reviews, and re-routing actions as appropriate, and keeping teams organized and operating effectively and efficiently with consistent systems, files, and records management.
- Handling confidential, non-routine information, special projects, and other duties as assigned with the required sensitivity and urgency.
- Maintaining confidentiality, taking initiative, remaining tactful, and practicing mature and independent judgment while working through complex issues and managing multiple priorities.
- Collaborating and providing back-up support to the Foundation's Executive EA team and specifically the EA to the President & CEO for Board administration functions, including distributing materials, responding to inquiries, taking minutes, and coordinating with executive team leads, the CAMHF Board & committee chairs.
