The Office Administrator position is our frontline of hospitality and client connection, while also keeping systems running effectively and efficiently in the background.

Raincoast Business Advisors is seeking an individual who is person-focused as well as organized and committed to working as part of a team.

**In this position you will**:

- Present a welcoming and professional image to clients and callers, and serve as host to clients coming for in-person meetings or inquiries.
- Answer the main phone line, respond to general inquiries, and direct calls to staff as needed.
- Manage the partner's calendar and appointment bookings.
- Manage incoming and outgoing mail
- Manage office supplies inventory and place orders as necessary to maintain adequate stock levels.
- Prepare and edit documents to be sent to clients as part of their year end packages.
- Prepare and compile documents in response to CRA inquiries.
- Invoice for completed jobs, complete bank deposits and manage Accounts Receivable.
- Manage client database.
- Assist in the organization of personal tax season.

**The skills you will require include**:

- Advanced skills with MS office - Outlook, Word, Excel and Adobe Acrobat.
- An aptitude to learn new software and integrate tech into processes.
- Excellent oral and written communication skills.
- Attention to detail and ability to work independently.
- Minimum 3 years administrative experience.
- Drivers license and reliable transportation.

The preferred starting date is December 2, 2024.

Office hours are:
January - April: Mon - Fri 8:30-4:30

May - Dec: Mon - Thurs 8:30-4:30
- During the peak of tax season from end of February through April, there may be times when additional hours are required to meet the demand of work volume.
