Bilingual Administrative Assistant

We are currently seeking an enthusiastic, client service driven* Bilingual Administrative Assistant* to join our Talent Acquisition team. **This role can be based out of any Miller Thomson office in Canada (Vancouver, Calgary, Edmonton, Regina, Saskatoon, London, Kitchener-Waterloo, Guelph, Toronto, Markham, Vaughan or Montréal).**
This is an exciting opportunity for an individual who enjoys a fast-paced and dynamic role, is a self-starter, with a keen interest in building a career in Recruitment.
**Key responsibilities**:
Recruitment Support:
- Posts job descriptions on career websites and various job boards
- Coordinates face to face and virtual interviews (for all national interviews), sending meeting invite/confirmations
- Tracks the progress of Background checks for new hires, trouble-shooting any delay issues and keeps team up to date on progress. Provides detailed report to Recruiter(s) and hiring managers as required
- Prepares and sends offer letters
- Updates and tracks status of recruitment in ATS
- Attends and participates in job fairs and other public, post-secondary and regional recruitment-related events
Onboarding Support:
- Launches onboarding to new hires ensuring all responses and documents are received in a timely manner.
- Follows the onboarding checklist to ensure a smooth transition of new hires into the Firm which includes follow-up with other departments and new hires.
- Supports orientation and coordinates all training schedules for new hires.
- Arranges for appropriate firm equipment and follows up prior to start date to ensure a successful integration of the new hire.
Reporting, Analytics and Special Projects:
- Prepares various recruitment presentations and reports through data gathering and analysis
- Provides support with processing monthly department expenses
- Participates in National Talent Services related projects and additional duties from time to time
**What you'll bring**:
- Bilingual in French and English
- Minimum of two (2) years of administrative support experience in recruitment or related area or prior experience in a Junior Recruiter or HR Coordinator position
- Post-secondary education in Business, Administration or Human Resources
- Experience working in a law firm or professional services organization is an asset
- Advanced technical skills in MS Office - Word, Excel and PowerPoint; HRIS systems, LinkedIn and Indeed
- Experience working with Applicant Tracking Systems, UKG experience an asset
- Ability to quickly learn new tools and software
- Strong organization and time management skills, comfortable with working in a fast paced environment often with competing deadlines
- Demonstrated client service excellence
- Strong teamwork and collaboration skills, with the ability to work effectively independently
- Excellent verbal and written communication skills in English and French
