**Administrative Assistant to General Managers, Human Resources**

**(15-month position)**

**Primary Function**:
To provide Administrative Assistant support for the General Managers Human Resources, HR Leadership Team and HR Department.

**Source of Supervision**:
General Manager Human Resources.

**Accountabilities**:

- Prepare for and coordinate various meeting/conference call requirements (presentations, data, etc.), ensuring timely completeness.
- Maintain and manage variance in department records, ie. monthly budget, monthly demographics, etc.
- Facilitate payment of invoices through Borel, CMMS, Chrome River and quick cheques. Prepare VISA and cash expense reports.
- Provide administrative assistance to GMs and HR Leadership Team, including organizing and coordinating meetings, travel arrangements, etc.
- Provide departmental administrative support, i.e., administer, maintain, and update records.
- Administer components of the Internal Safety Program, administer department vacation schedules, organize and schedule multi-media department meetings and leadership assessments, issue general communications to department, manage stationary requirements, etc.
- Provide administrative support to functional areas, ie. Total Rewards, Employee Relations, Talent Management, Learning & Development, Succession Planning, Workforce Planning, during peak workload periods.
- Facilitate payment of the tuition reimbursement program.
- Coordinate and organize the QCC corporate event.
- Manage all IT equipment, systems, and BUC requests within the department.
- Prepare correspondence, presentation material, reports, etc.
- Manage office services requirements for Human Resources Main Office staff.
- Audit required process completion, ie. LMS, Control Documents, updating HR scorecards, etc.
- Administer and participate on special projects as required, within and external to the department.

**Qualifications**:
Minimum Community College Certificate and/or 5+ years of job-related experience.

**Knowledge & Skills**:

- Working knowledge of administrative processes and procedures is required.
- Demonstrated business professionalism, respect for confidentiality and appropriate handling of sensitive information.
- Very good interpersonal and communication skills are required.
- Very good organizational and time-management skills are required.
- Ability to work in a fast-paced environment where sudden developments and changing priorities frequently require quick responses.
- Excellent problem-solving skills are required.

**Working Conditions**:
Office environment.

This position is eligible for a hybrid work model which requires you to work onsite at least three days per week.

**Hours of Work**:
Days, Monday to Friday with extended hours as required due to periods of peak workloads.
