Reporting to the WorkBC Contract Manager, the Administrative Support 1 - Receptionist helps make a difference in our community by being the first point of contact for walk-in clients. They will contribute to the professional and welcoming atmosphere at reception and assist the WorkBC team with data entry into the Integrated Case Management (ICM) system. Utilizing excellent customer service and communication skills, the Administrative Support 1 - Receptionist directs clients to the appropriate services and resources and informs Counselling and Employment Services when their clients arrive for meetings or require service.

**DUTIES AND RESPONSIBILITIES**:

- Create a professional and welcoming atmosphere within the Reception & Resource Centre areas.
- Respond to enquiries and requests for information, either in person, virtually, or over the phone, from clients, the public, the business community, government agencies and community agencies while observing confidentiality guidelines.
- Direct people to appropriate services and resources and inform Counselling and Employment Services team members when their clients arrive for meetings or require service.
- Identify clients who may need crisis-care services and direct to Client Advisor - Intake Coordinator
- Assist new clients to register for BCeID and Online Employment Services
- Assist clients as needed in the self-serve resource centre
- Provide clients with photocopying and faxing assistance as required.
- Attend and participate in team meetings, and all team-related activities and events occurring during scheduled working hours
- Provides vacation relief for other team members as required
- Participate in ICM training, webinars & other group training as advised by the director or WorkBC contract manager
- Assist in ICM data entry as required
- Assist in Training, Referral and Feedback database, follow up of EI clients
- Hard copy client filing as required and maintain filing and up-to-date inventory of supplies required in the office
- Perform other duties as required

**EDUCATION, EXPERIENCE AND REQUIREMENTS**:

- Minimum 2 years experience in reception or administration
- Minimum 2 years experience in database use
- Experience working or volunteering with vulnerable populations
- Completion of recognized post-secondary business and/or administration courses is considered an asset
- Knowledge of community resources

**SKILLS AND ABILITIES**:

- Strong customer service skills
- Excellent communication skills, both written and verbal
- Strong organizational skills and the ability to manage multiple competing priorities.
- Excellent interpersonal skills with the ability to build and maintain strong relationships
- Conflict resolution skills with a focus on active listening and comprehension
- Ability to work independently and as a member of a team
- Skilled in the use of MS 365 (Teams, Excel, Word, Outlook, etc.)
- Ability to use sound judgement and take initiative
