**Job Summary**

Under the direction of the Coalition Program Manager, the Operations Manager’s main responsibilities are to support the coalition according to the coalition mandate, goals and activities.

They will be supporting the development and execution of coalition activities according to strict deadlines and within budget. This includes acquiring resources and coordinating the efforts of team members, coalition institutions and third-party contractors or consultants to deliver projects according to plan. The Operations Manager will also support coalition leadership and manage the operation and logístical action for the coalition.

This includes preparing standard and ad-hoc reports for college administration, and special reports as required, among others. The incumbent will liaise between project partners (e.g. senior leaders within coalition members, industry, employers, etc.), key stakeholders, college administration and granting agencies.

**What you’ll be doing**:
**Operations and Coordination Support**
- ** **Manage any project development and operations from beginning to end.
- Maintain a full-scale project plan and associated communications documents.
- Delegate tasks and responsibilities to appropriate personnel.
- Identify potential issues and conflicts within the project team.
- Identify and manage project dependencies and critical path.
- Develop and deliver progress reports, proposals, requirements documentation and presentations.
- Support the need to proactively manage changes in project scope, identify potential crises, and potential contingency plans.
- Assist development, maintain and grow any business relationships vital to the success of the project.

**Planning Coordination and Support**
- ** **Advise planning for coalition project scope, goals and deliverables that support business goals in collaboration with Coalition leadership.
- Effectively communicate project expectations to team and coalition members and stakeholders in a timely and clear fashion.
- Liaise with project stakeholders on an ongoing basis.
- Continually monitor project expectations with team and coalition members and other stakeholders.
- Plan and schedule project timelines and milestones using appropriate tools.
- Track project milestones and deliverables.
- Develop best practices and tools for project execution and management.

**Financial Operations and Support**
- ** **In close collaboration with C2R2’s Financial Planning Analyst, support the financial aspects of project and contracts including processing of invoices, expense allocation, transfers, monitoring of budget and completion of project within budget guidelines.
- In collaboration with Mohawk’s legal team, support the drafting, reviewing, and processing of and legal agreements related to project operations.
- Estimate the resources and participants needed to achieve project goals.
- Draft and submit budget proposals and recommend subsequent budget changes where necessary.
- Determine and assess need for additional staff and/or consultants and make the appropriate recruitments necessary during project cycle.
- Ongoing communication with Project Mangers in respect to timelines i.e., invoicing/staff departmental timesheets/ Contracts/ Proposals, etc.
- Monthly: Produces all paperwork and backup, uploads into FAST then submits invoicing to external organizations.
- Weekly monitoring of invoicing, execute quick turnaround time with any overdue accounts from Partners which requires keeping a good rapport with them and their team.
- Liaise closely with project team on deliverables.

**Administrative Support**
- ** **Support for other Program team members when on vacation.
- Assist inventory management for project assets. Create and maintain for project auditing. Follow up with staff when needed.
- Promote policies/processes required for project deliverables under the guidance of the Coalition Program Manager. Report oversights/absences in department operations/practices to Program Manager for brainstorming/review/corrections and/or implementation.
- Keep Coalition Program Manager abreast with the changes, challenges that arise with the duties/ practices/procedures/daily operations that the assistant may encounter.
