**Events & Engagement Supervisor (Temporary Full-Time)**
**1 Year contract**

**Summary**

The Events & Engagement Supervisor is responsible for supervising and overseeing the planning, design, production, promotion, overall co-ordination and success of Fanshawe Student Union (FSU) events. This individual will delegate tasks as required and provide support to event and entertainment staff. This individual will organize all FSU events, from sourcing venues to liaising with entertainers, speakers and exhibitors, and overseeing FSU events on-site and area campuses. Other duties include, but are not limited to reviewing and arranging proper accommodation, transportation, catering, signage, working with the Marketing Manager on promotional materials, procurement and security. This individual will also monitor event budgets. Other duties will be assigned as necessary.

**Job Duties**
- Supervise the internal communications events program.
- Coordinate a variety of student entertainment events including online and on-campus.
- Work with the events team in sourcing venues for all events.
- Primary contact for external suppliers.
- Administer event budget and ensure it is maximized for the events.
- Supporting the Marketing Manager, organize and supervise the Entertainment department, including recruitment and performance management of staff.
- Source venues and contractors, obtain quotes and conduct site visits as necessary.
- Liaise with and handle arrangements for speakers, entertainers, exhibitors and performers.
- Maintain detailed and accurate event files, e.g. event databases, post-event reviews, and financial information.
- Liaise with entertainers, delegates and exhibitors from the time that they commit to attending, throughout the lead up and during the event.
- Assist the Marketing Manager with events related invoicing.
- Co-ordinate delivery of FSU materials to events, internal and external.
- Periodically provide administrative support to other members of staff, under the advice and approval of the Marketing Manager.
- Collaborate with the Marketing Manager and Events team to determine parameters, policies and procedures of events plan.
- Collaborate with the Marketing Manager to develop and implement a marketing plan for various student events.
- Supervise the development and production of promotional materials and presentations, as necessary.
- Develop a risk management plan, in collaboration with the Events team and Marketing Manager.
- In collaboration with the Marketing Manager, oversee the financial management of events.
- Assess full reports on events organized which include obstacles and opportunities encountered.
- Perform other duties as necessary.

**Requirements**:

- 5-7 years' experience in coordinating or supervising large events, and exhibitions.
- 5 years of financial management skills, including budget management skills.
- 5 years' experience in marketing and promotions an asset.
- Strong Event Management experience, particularly in organizing student events.
- Knowledge of the local industry and area an asset.
- Excellent leadership and time management skills.
- Experience in supervising teams, including recruitment and performance management
- Efficient, consistent team player.
- Strong project management skills
- Demonstrated planning and organization skills.
- Excellent attention to detail.
- Ability to take on responsibility and use initiative to prioritize and work effectively, under pressure and to tight deadlines.
