Office Administrator and Executive Assistant

**Why you’ll love this role**:
The Office Administrator manages the administrative processes of the York Mills and Burlington offices to support operational efficiency with no business disruption and continued productivity of the various teams in support of Corporate goals and objectives. The incumbent is guided by defined procedural constraints and works under the moderate supervision of the Senior Vice President Group Solutions

The Executive Assistant also provides secretarial, analytical and administrative support to the Senior/Executive Vice President, and Senior Management level. The incumbent is guided by defined procedural constraints and works under the moderate supervision of a Senior Executive Assistant or Senior/Executive Vice President.

**What you’ll be working on**:
- Primary point-of-contact for the office, Review and fulfill employee requests pertaining to operations and communicate with external stakeholders- Manage the procurement and maintenance of office supplies and equipment and coordinate and maintain vendor service contracts; review orders for supplies and services to ensure costs are managed within budgetary parameters- Liaise with building management for facilities and maintenance requirements- Assemble highly confidential information from multiple sources, and prepare reports, agendas and correspondence- Manage calendars/daily schedules; coordinate internal and external meetings; coordinate travel and meeting arrangements- May administer, coordinate or support various programs within the unit- Collaborate with project leads for status of work/projects and provide status updates to Senior Management- Coordinate hoteling facilities within the office- Manage the security guest Pass card distribution and pass cards for York Mills and Burlington offices- Facilitate onboarding support for new hires- Coordinates account reconciliation including review of expense claims and ensuring payment of invoices- Conducts analysis and provides management summary to the Senior/Executive Vice President and Senior Management team

**What you’ll need to have**:
- 3+ years experience as an Administrative/Executive Assistant or Office Administrator- Advanced knowledge of word processing, spreadsheet, database, and presentation software- Familiarity with various document management processes depending on functional area supported- Clear writing, keyboarding, editing and proof-reading skills- Ability to organize/schedule both people and information- Ability to use current business software- Experience in a customer service environment- Clear writing, keyboarding, editing and proof-reading skills- Ability to organize/schedule both people and information- Tact, diplomacy and ability to handle confidential information- Attention to detail/accuracy
