**Job Summary**

The Meeting and Events Administrator, under the direction of Industry Solutions’ Director of Meetings and Events, will primarily be responsible to coordinate the logístical aspects of multiple events. This position will coordinate travel and expenses for speakers and attendees at various conferences and meetings. The Meeting and Events Administrator must have the ability to adapt to new technology and ability to deal with people sensitively, tactfully, diplomatically, and professionally always.

**Responsibilities**:

- Identify and collaborate on creation of internal systems to support team operations and efficiencies (SOPs and internal calendar management).
- Support team requests for administration tasks for a multitude of events on a day-to-day basis.
- Process external stakeholder honoraria and expenses and manage complete cycle of follow-ups required for reimbursement.
- Track, coordinate and file electronically expenses again various budgets within our credit card processing system.
- Assist in the compilation of data for various reports, includes entering data into various software programs.
- Prepare travel schedules, book travel arrangements, and make reservations for attendees, and speakers. Includes finding solutions when travel plans are impacted for any reason.
- Arrange travel bookings via approved providers, distribute tickets to attendees, and post incurred expenses to the summary sheet
- Accurately and appropriately send out correspondence, invoices, and receipts to participants.
- Present a positive and professional image of the organization when interacting with employees, clients/customers, visitors, and other external stakeholders
- Print, photocopy, and organize support materials for events (to support PMs as needed)

- Degree or diploma in administration, accounting, or business, or a related field
- Proficient in Microsoft Office programs - intermediate to advanced Excel skills
- Experience using Cvent event management software would be an asset
- Strong financial understanding including expense/credit card processing software (Certify)
- Three years of experience in an administrative role
- Ability to adapt to new technology
- Ability to deal with people sensitively, tactfully, diplomatically, and professionally always
- Ability to effectively communicate both verbally and in writing
- Ability to prioritize and manage conflicting demands
- Ability to respond quickly in a dynamic and changing environment, while maintain an attention to detail.
- Ability to work individually as well as part of a team
- High flexibility with strong communication, collaboration, and interpersonal skills
