McMillan has an exciting opportunity as a Coordinator, Hospitality & Concierge Services as part of our Toronto Hospitality & Concierge Services team. As a member of the lively team, you will play a key role in overseeing and coordinating concierge services (i.e. corporate travel, gift programs and McMillan company store.)

**It is important to note that this role has a requirement to work onsite in the office at all times.**

**What You’ll Do**:
Corporate Travel, Gift Program and Company Store:

- Oversee booking of all Operations staff travel and assist legal professionals as required
- Manage reporting, travel website and RBC Avion points
- Oversee and manage all client and firm member gift/gift card requests (i.e. holiday client gift program, collecting and logging requests, coordinating with suppliers) to ensure delivery timelines are met
- Liaise with promotional supplier to maintain, source and recommend products for the McMillan Company store

United Way Campaign Coordinator:

- Assist with the delivery of a successful annual campaign (i.e. coordinate donations from suppliers, track campaign results, coordinate fundraising events, recruit ambassadors and other general administrative duties).

Administration and Additional Responsibilities:

- Assist with administration and execution of internal and client events as required
- Maintain event folders, profiles, statistics and calendar
- Create and update a restaurant/venue/event supplier data base
- Coordinate requests for entertainment events and restaurant reservations within budget
- Provide occasional coverage at Reception during peak periods
- Assist with all department administrative functions as required
- Maintain department Intranet site

- Exceptional client service skills and a high degree of professionalism, including maintaining a personable, attentive, calm, positive and professional demeanor at all times
- Excellent communication/interpersonal skills to interact with all levels of the firm, clients, external vendors and suppliers.
- Ability to work independently and collaboratively within a team environment
- Excellent time management skills, the ability to manage multiple priorities and to work in a fast paced environment
- Ability to troubleshoot and resolve problems with limited supervision
- Strong technical skills (Word, Excel, Outlook, Meeting Room Booking Software, Power Point)
- Flexibility to re-schedule or work additional hours on occasion, sometimes on short notice
- Flexibility to work in all areas of Hospitality Services
- Proactivity and a keen desire to contribute to client service excellence by suggesting enhancements to processes and/or client service programs
