THE ROLE:
RVS is looking for a bright, eager and organized Office Administrator to perform a wide range of administrative and bookkeeping tasks to support facilitating the efficient operation of the organization, often with tight deadlines. RVS has an opportunity for an individual with excellent bookkeeping skills and a talent for coordination to join our team.
IN THIS ROLE, YOU WILL:
Provide direct support to the Owner
- Work closely and effectively with the Owner to keep him well informed of upcoming commitments and responsibilities, following up appropriately
- Review all documents, billing, and contracts for content, grammar, spelling and make edits as necessary
- Organize employee events, such as the holiday dinner
- Manage sensitive matters with a high-level of confidentiality and discretion
Facilitate the management of the office
- Maintain the employee schedule, as well as coordinating and booking travel arrangements
- Maintain both the physical and digital file systems
- Keeping the office clean, tidy, and organized
- Stocking office supplies
- Providing basic IT support for computer or printer issues
- Daily administrative duties with a broad variety of tasks that include:
- composing and preparing correspondence
- arranging detailed travel plans, itineraries and agendas
- compiling documents for events
- file management
- bookkeeping, including
- weekly payroll
- bank deposits
- HST, Source Deductions, and WSIB reporting
- bank and credit card reconciliation
- project expense allocation
Other Duties include:
- Light cleaning
- Present a positive and professional image of the office to all visitors, suppliers, customers, general inquiries and others
- Performing other related duties as required.
QUALIFICATIONS:
- Previous experience as an Office Administrator or other relevant position
- Knowledge of bookkeeping, with a preference for Sage 50 and Freshbooks
- Must be highly organized and able to prioritize tasks in a fast-paced environment.
- Exceptional attention to detail.
- Excellent verbal and written communication skills.
- Ability to anticipate needs and work independently with mínimal supervision.
- Strong initiative, work ethic and a positive attitude.
