Customer Service Representative

**Summary**

This position is responsible for providing customer support and maintaining positive customer relations while responding to problems and inquiries. To maintain productive working relationships with internal and external customers and co-ordinate all aspects of siding, allied and promotional orders from receipt to delivery.

**Job Duties**
- Assist customers and sales reps with all inquiries regarding product, shipping, guidelines, warranty, etc.
- Regularly communicate by telephone to sales staff, Allied Dept., Marketing Dept, and Credit Department on inquiries, and to assist in facilitating orders for shipping and pick-up.
- Handling money re: cash sales, etc.
- Prepare daily schedule of orders and distribute to branch warehouse staff.
- Communicate with warehouse regarding shipping errors and discrepancies.
- Run weekly open order report and follow up on open orders with customers.
- Deal with any issues resulting from delivery, i.e., late shipment, shortages, damaged product.
- Prepare required paperwork for Freight Claims, and arrange for appropriate credit, and possible re-shipment, resulting from damaged product on shipment.
- Maintain customer listing.
- Order entry of customer orders.
- Process credits/invoices for customers when required.
- Back up to other Customer Service Representative and Sales Representative when absent or on holidays.[C1]

**Requirements**:

- Bilingual (French and English)
- High school diploma or GED.
- 1 - 3 years prior experience in customer service.
- Effective verbal and written communication skills.
- Good organizational, time management and prioritization skills.
- Strong work ethic and positive team attitude.

**Sommaire**

Ce poste est responsable d’offrir un support à la clientèle et de maintenir des relations positives en répondant aux problèmes et aux demandes des clients. Il s’occupe aussi de maintenir des relations de travail productives avec les clients internes et externes et de coordonner les commandes de revêtements, de produits alliés et promotionnels ainsi que de la réception à la livraison.

**Responsabilités de l’emploi**
- Assister les clients et les représentants pour toutes les demandes concernant les produits, l’expédition, les directives, les garanties, etc.
- Servir les clients directement par téléphone, par courriel, par facsimilé ou au comptoir.
- Communiquer régulièrement au téléphone avec le personnel de vente, les départements affiliés, de marketing et de crédit au sujet des demandes, et faciliter les commandes à expédier ou à être ramassées.
- Manipuler de l’argent : ventes au comptant, bons de commande, chèques, terminal de débit/crédit.
- Préparer l’horaire journalier des commandes et la remettre au personnel d’entrepôt.
- Communiquer au responsable de l’entrepôt les erreurs et les écarts d’expéditions.
- Gérer un rapport sur les commandes ouvertes et faire le suivi avec les clients.
- S’occuper des problèmes résultant de la livraison, par exemple les expéditions en retard, les pénuries, les produits endommagés, les items oubliés.
- Préparer la documentation pour les réclamations de transport, obtenir les crédits appropriés, assurer les réexpéditions possibles, le tout résultant des produits endommagés sur le transport.
- Entrer les commandes des clients.
- Traiter les crédits/factures pour les clients lorsque requis.
- Remplacer les représentants du service à la clientèle et les représentants lorsqu’ils sont absents ou en vacances.
- Effectuer des tâches de classement.

**Prérequis**
- Bilingue Anglaise et Français
- Diplôme d’étude secondaire ou DEC.
- 1 - 3 ans d’expérience comme représentant au service à la clientèle.
- Excellentes habilités en communication orale et écrite.
- Compétences en informatique incluant, Microsoft Word, Excel, courriel, etc.
- Bonnes aptitudes organisationnelles, de gestion du temps et de priorisation.
- Forte éthique de travail et attitude positive en équipe.
