Project Administrator

We are currently looking for a **Project Administrator **to join our team on a full-time basis. The Project Administrator provides administrative support to ensure projects run smoothly. This will include liaising with external consultants, clients, and contractors. With experience in a dynamic and collaborative environment, you will provide a proactive approach to ensure that documentation is tracked, reviewed, and approved as a key component to project delivery.
The duties of this position are generally progressive responsibilities appropriate for a Project Administrator in a broadly based professional architectural practice. Your specific duties will be undertaken under the supervision of the Human Resources and Administration Lead, and will include the following tasks commensurate with your experience and ability:
- Provide administrative support to the project teams throughout the project life cycle
- Support the coordination of the prime and sub-consultant contracts upon project award
- Assist with the tender process and coordinate the construction contract as required
- Prepare Contract Administration documents for projects in construction including Change Orders, Certificate of Payments, Lien Releases and Substantial Performance documentation
- Assist with Change Directives, Requests for Information, Supplemental Instructions and other contract documents
- Support Project closeout including coordination of Occupancy requirements and Letters of Assurance
- Coordinate, track and file project documents, reports, schedules and other project related materials
- Set up, maintain and archive project files according to the office standard
- Schedule and organize project meetings and assist with meeting minutes
- Provide backup coverage for reception during lunch breaks, vacations and general absences
- Other administrative duties as required to ensure the projects run smoothly
**What you need to be successful in the role**:
- Minimum 2 years related work experience, preferably in the Architectural, Engineering or Construction Industry
- Exceptional organizational skills and multi-tasking ability
- Capable of working in a fast paced, dynamic environment
- Attention to detail with high level of accuracy
- Excellent written and verbal communication skills
- Strong computer skills with proficiency in MS Office (Outlook, Word and Excel)
- Willingness to learn, along with a strong work ethic
- Must be punctual, reliable and have a welcoming personality
