**Opportunity**

We are seeking a temporary **Program Assistant **to join the Lift Housing Services team to provide administrative, scheduling and correspondence support to the Housing Services manager.

**Overview**
- **Hours**:35 hours per week
- **Shifts**:Monday to Friday, 8am to 4pm

**Summary**

Reporting to the Housing Services Manager, the Program Assistant provides confidential administrative assistance and secretarial support for the Housing Services department and its related programs including Supportive Housing, Emergency Shelter services, and the Rent Supplement program. The Program Assistant triages information of a sensitive and confidential nature, ensures that regular meetings and processes are conducted in a timely and organized manner, communicates effectively and professionally, maintains accurate and organized records, assists with special projects, and keeps the Housing Services Manager apprised of issues and activities. This is a temporary, capacity-building role ending March 31, 2025, with possibility of extension.

**Responsibilities**:
**General Administration & Documentation**:

- Provides administrative support in an organized, professional and confidential manner.
- Produces well-designed and accurate reports, correspondence, presentation materials, spreadsheets, and memos. Maintains and updates various computer databases and web pages.
- Maintains and updates various computer databases including HIFIS and Housing Connections.
- Supports project management on key projects, including project scheduling, tracking progress and monitoring scope, supporting problem solving, maintaining files and project documentation.
- Assists with standardized program review processes including client-facing meetings to verify program eligibility and status.

**Scheduling & Correspondence Support**
- Triages correspondence, determines appropriate response/action, and facilitates timely follow up as appropriate.
- Coordinates meetings, ensuring well-defined and timely agendas, booking facilities or spaces, identification of and notification to interested parties, compilation of background information. and supporting materials, and preparation of packages/summary documents to assist in decision making and meeting facilitation.
- Supports meeting activities including but not limited to meeting minutes, follow up actions and booking of subsequent meetings.
- Ensures appropriate dissemination of information about organizational and/or program/service procedures and processes and the status of issues to internal and external stakeholders.

**Program Development**
- Assists with the development, maintenance and communication of program policies and procedures.
- Assists with quality assurance including reviewing program data and reporting risks and opportunities to appropriate managers for evaluation and follow-up.
- Makes recommendations regarding efficiency of standard processes and procedures
- Performs other related duties as needed.

**Human Resources**
- Assists with creating and updating program staff schedules.
- Schedules and tracks vacations of housing services staff team.
- Coordinates staff meetings.
- Supports orientation of new housing services team members, including tech set-up, coordination of training cour
