**Job Description / Roles and Responsibilities for Job Title**:
**HR Related**:
- Organize, maintain, and update internal databases with digital personnel records of relevant employee information.
- Supervise new employee onboarding, prepare offer documentation, and conduct orientation sessions.
- Keep a track record of leaves such as sick or maternity.
- Update company policies and other relevant documents in lieu of Manager, Human Resources - Canada
- First point of contact with employees on HR-related issues and insurance vendors.
- Ensure legal compliance.
- Update, maintain, and present reports with KPIs such as turnover rates and hires by each department.
- Calculating payable hours, commissions, bonuses, tax withholdings and deductions.
- Managing electronic timekeeping systems or manually collecting and reviewing timesheets.
- Providing information and answering employee questions about payroll-related matters.
- Organize a job fair and work on relevant HR projects.
- Gather staffing needs from the Head of Departments and create and publish job ads.
- Administer performance management program by monitoring employee appraisals and salary revisions.
- Provide guidance on employee behavior and launch investigations.
- Provide training and development opportunities.
- Take meeting minute notes.
- Calculate staff entitlements such as annual leaves.
- Administer drug, background checks, and other pre-employment screening.
- Prepare correspondence, arrange meetings, processing confidential reports and documents.
- Handle all employee queries, written or verbal with the utmost confidentiality.
- Brings issues to managers’ notice.
- Keep up to date on current issues and matters related to the HR department.
- Frequently interact with managers and heads of various departments to disseminate information.
- Organize and supervise all travel arrangements for employees.
**Admin Related**:
- Answer phones
- Distribute mail, send out mail
- Reconcile statements
- Greet clients
- Update organization chart for the company
- Filing and clerical duties
- Distribute pay stubs
- Deal with couriers
- Incoming & outgoing, order supplies for different departments
- Provide assistance to different departments as needed
- Stock boardroom for supplies for client visits
- Arrange catering
- Arrange service calls for office equipment; pick up for supplies when needed
- Tracking of vacation and absences for staff
- **Any Additional responsibility given by Head of the Department / Management**_
**Must Have**:
**2 years of Payroll Experience (Ceridian, ADP)**
**Qualifications**:
- Ability to write and communicate policies and company directives
- Ability to work in a fast-paced environment
- Demonstrated ability to solve complex problems impacting people
- Ability to provide briefing and training to diverse audiences
- Ability to operate independently where appropriate but understand when to escalate issues
- Strong analytical skills and ability to work on basic processes as well as strategic initiatives
- Ability to establish effective working relationships across all sites and at all levels within the organization
- Ability to maintain a high degree of confidentiality and maintain high trust levels
- Knowledge of Canadian labour employment law regulations and applicable requirements
- Skills in Microsoft Office (Word, Excel, Outlook, PowerPoint)
- Demonstrated knowledge of site operations, SOPs/policies, regulatory requirements and quality standards (e.g. GCP, ICH GCP)
- Strong analytical and problem solving skills
- Excellent organizational skills, detail oriented, efficient and able to multi-task and prioritize effectively
- Excellent interpersonal skills
- Strong written and verbal communication skills
**Salary**: $40,000.00-$50,000.00 per year

- Bachelor's Degree (preferred)
