**Position Title**: Special Events Assistant

We are currently searching for a Special Events Assistant. Reporting to the Special Events & Conference Manager, this position provides administrative support relating to event and meeting planning, various projects, as well as occasional administrative duties for the Training & Development team.

**Scope of Responsibilities**:
Coordination
- Assist with coordination of various internal and external meetings and conferences.
- Assist with scheduling, coordinating and attending meetings as required, including venue selection and set up, food & beverage coordination and reservations.
(Some travel may be required)
- Coordination of the summer charity golf program.
- Coordinate event and charitable sponsorships alongside the Marketing Department.
- Coordinate and arrange business travel.
Communications
- Liaise with internal and external contacts on behalf of the team; Franchisees, Suppliers, Vendors, and Business Contacts.
- Provide calendar management and communication about upcoming events.
- Prepare and handle internal event announcements, tracking and communication
Administration
- Responsible for administrative functions relating to the Special Events & Conference Manager.
- Prepare minutes from various meetings.
- Work with other departments to coordinate various meetings and functions.
- Complete and submit expense reports for Managers.
- Assist with reception coverage as required.
- Other administrative duties as required.
**Who you are**:
- Minimum of 2 years of administrative assistant experience.
- Meeting and/or event planning experience an asset.
- Ability to maintain a high degree of professionalism while working under strict deadlines and
- Able to handle highly confidential material and correspondence.
- Superior communication skills (both oral and written).
- Highly organized with the ability to multitask.
- Proactive team player but able to perform well independently.
- High degree of accuracy and attention to detail required.
- Minimum typing speed 70 wpm.
- Must be proficient with MS Word, Excel, Outlook and PowerPoint.
