**Job Summary**: This position is funded through (see more details below).The Ottawa Music Industry Coalition (OMIC) is seeking an enthusiastic individual to join our team as Administrative Assistant to the Executive Director. This is an entry-level position that will provide essential support to the Executive Director in managing various initiatives aimed at advancing Ottawa’s music industry ecosystem. The Administrative Assistant will be responsible for administrative tasks, assisting in coordinating events, workshops, and meetings and supporting the execution of various programs, concert series and professional development initiatives such as the Capital Music Week (CXMW), City Sounds Live, Songs from the Shed, and more.
**Responsibilities**:
- Provide administrative support to the Executive Director, including scheduling meetings, managing calendars, drafting correspondence, and maintaining records, spreadsheets and databases.
- Assist in coordinating logistics for events, workshops, and other activities, including venue booking, equipment setup, registration, accommodations booking, and communication with participants.
- Support the planning and execution of various programs and initiatives, including research, coordination of resources, and tracking progress.
- Help maintain and update OMIC's website, social media platforms, and other communication channels, including drafting and scheduling newsletter content alongside the Communications Coordinator.
- Collaborate with the Executive Director and other team members to ensure smooth operations and efficient communication within the organization and with external stakeholders.
**Skills and Qualifications**:
- Strong organizational skills and attention to detail with the ability to manage multiple tasks simultaneously.
- Strong communication skills, both written and verbal.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) or Google Drive
- Ability to work independently and as part of a team, to take initiative and take a proactive approach to problem-solve
- Have an active Employment Insurance (EI) claim **or**:
- Previously established an EI benefit period within the last five years **or**:
- Paid employee payroll premiums (EI premiums - Box 18 on your T4) in at least three of the previous ten years (where earnings have been at least $2K in each of those years **or**:
- Received the Employment Insurance Emergency Response benefit (CERB) within the previous five year
**NOTE 1**: Those registered in full-time academic studies are not eligible to be considered.
**Remuneration**:
$662 (gross) per week for 32 hours / $20.6875 per hour provided by the Province of Ontario.
**Job Type**: Fixed term contract
Contract length: 6 months
Pay: $20.69 per hour
Expected hours: 32 per week
Schedule:
- Monday to Friday
Work Location: Hybrid remote in Ottawa, ON K1N 6Z9
