Location: Fort McKay Head Office
Schedule: 40 Hours per week. Monday to Thursday (Alternating Friday) - Hybrid Working Schedule (In-Person & Remote)

**Role Summary**:
The Corporate Coordinator (CC) is an integral member of the COO Team, who proactively provides administrative and organizational support to the COO and their team. The CC seamlessly collates, monitors, analyzes and disseminates information to the team(s), leads departmental initiatives and works collaboratively by supporting various projects and reporting requirements.

The incumbent will provide administrative support to the office of the COO, assist with meeting preparation and minutes as required, and coordinate internal and external activities. Provide consultation on administration issues with associated departments and facilitate interdepartmental coordination.

**Primary Responsibilities**:

- Work closely and effectively with COO to keep him/her well informed of upcoming commitments and responsibilities, following up appropriately.
- Support the planning and coordination, on a rolling 12 months of the Corporate Calendar of Key Events.
- Coordinate all activities associated with the Senior Management and Bouchier Board Meetings, including agendas, minutes and information package, action items.
- Support the quarterly and annual Strategic Planning Sessions including all associated logistics.
- Coordinate Operations Monthly Meetings and Owner’s Mindset Training sessions in collaboration with the COO.
- Support timely submissions of proposals and bids.
- Oversee the Corporate Action Logs and communicate with Senior Management on an on-going basis.
- Pre-plan Agendas and activities for key activities identified in the Corporate Calendar in alignment with our Strategic Objectives & Goals.
- Centre Suite support for the COO.
- Work with the CEO, Communications team on an on-going basis to support corporate deliverables.
- Compile meeting packages, prepare meeting presentation as requested (internal, client, other).
- Acts as a barometer having a sense for the issues taking place and keeping the COO updated.
- Researches, prioritizes, and follows up on issues and concerns, as assigned by COO, assisting in determination of appropriate course of action, referral, or response.
- Maintain high-level understanding of interdepartmental process as to assist in facilitating appropriate communication.
- Maintain basic knowledge of day-to-day processes of departments under the COO, to assist in resourcing as needed.
- Maintain effective relationships and communications with departments outside of the Office of the COO.
- Coordinate budget activity through tracking, reconciling, and processing: payment requests, credit card purchases, reimbursement claims and budget reports.
- Coordinate departmental events and provide logístical support.
- Facilitate special projects as assigned.
- Provide project management support for complex planning and execution of COO related initiatives.
- Prioritize conflicting needs; handles matters expeditiously, proactively, and follow through on projects to successful completion, often with deadline pressures.
- Perform other tasks as may be necessary to facilitate the work of the COO department.
