**Invoice Processing Clerk**

**JOB SUMMARY**
- Under the general supervision of the Accounting Supervisor provides Invoice Processing and Contract Administrative Support services
- Co-ordinates travel bookings and preparation of travel claims associated with contracts.

**JOB DUTIES AND RESPONSIBILITIES**
- **Accounts Receivable/Invoicing.** The Accounting Section is responsible for invoicing for all Ottawa Main contracts. Production of monthly invoices involves the gathering and verification of all Contract Employee timesheets plus the coding and approval of consultant invoices along with previously prepared travel and material claims for current contracts.
- **Project/Contract Quality Control and Administration.** Contract administration and quality control is a primary function as without quality control, i.e., a properly maintained contract, invoicing cannot occur in an accurate and efficient manner. The Accounting/Administrative Assistant will assist in maintaining a number Ottawa Main Contracts employing both Contract Employees (full and part time) and Consultants, including the gathering of all necessary data required to allow the accounting section to invoice for all such services.
- G**eneral Accounting Duties.** Gradually more responsible for all accounting procedures associated with assigned contracts which involve monitoring of all contracts for proper cash flow and funding requirements. Prepare all paperwork necessary to secure travel advances and travel reimbursements associated with travel bookings and travel claims prepared for each employee and/or consultant as required per contract.

**REQUIRED QUALIFICATIONS**
- **Technical** - Intermediate knowledge of all software used: MS Word and Excel, including spreadsheet setup in Excel, general knowledge of Internet, and knowledge of all office equipment.
- **Administrative** - Working knowledge of accounts receivable / payable and invoicing, ability to read, understand and administer Government Contracts, understand and maintain all changes to Treasury Board Guidelines (changes occur most often in April and Oct of every year), travel bookings, letter/fax/memo composition, general office procedures, reception abilities

**Language**:

- English

**Security** - Ability to obtain a Government of Canada Security Clearance at the level of Secret.

**Education Required**
- Secondary School Diploma
- Secondary School Training in Accounting Practices desirable

**Experience**
- Minimum 2 years administration contract/billing related experience is desirable
- Knowledge and understanding of Treasury Board Guidelines is desirable

**WORKING CONDITIONS**

- Some lifting of files may be required.
