EXECUTIVE ASSISTANT TO THE PRESIDENT & CEO

In this role, you will provide a significant level of administrative support to the President & CEO of the company. You will be working and reporting to the President and CEO, who was recognized in 2021 as being in the Top 100 Energy and Environmental Industry Leaders throughout North America.

**Position Overview**:
As the Executive Assistant to the CEO and President, you will play a pivotal role in ensuring the smooth and efficient functioning of the executive office. You will serve as a trusted partner, providing strategic support, managing administrative tasks, and maintaining a high level of professionalism and discretion.

You will have the ability to use both your administrative skills and office management skills to help advance the company. **Key Responsibilities**:
As the Executive Assistant, your responsibilities may include but not limited to the following:

- Proactively manage and coordinate the CEO and President's complex schedules, including meetings, appointments, and travel arrangements.
- Act as a gatekeeper, screening and prioritizing communications and requests, and handling them with the utmost confidentiality.
- Prepare and edit correspondence, reports, presentations, promotional materials, and other documents as required.
- Taking notes during the meetings that the President & CEO attends and making sure that the action items from the meeting are executed, following up with employees.
- Overseeing information management - files, documents, reporting for all functions.
- Following up with clients and staff members as requested by President & CEO, or updates/issues with clients that the President & CEO needs to be informed.
- Conduct research and provide insights to support decision-making and enhance executive effectiveness.
- Assist in reviewing invoices prior to approval for billing.
- Assist in onboarding new employees.
- Anticipate needs and proactively identify opportunities to enhance efficiency and productivity.
- Provide support on proposal’s editing, design, and finalization process.
- Handle matters proactively and follows-through on projects to successful completion, often on tight deadlines.
- Acting as the President & CEO’s designee to hear and possibly resolve concerns where possible or referring accordingly for action.
- Implementing procedures and processes as it applies to your position and as requested for other roles within the organization.
- Managing the administrative components relating to special events, or activities of the department.
- Multi-tasking like a pro - you like wearing different hats on several projects/clients simultaneously.
- Performing other related duties/activities as required.

**Qualifications**
- Minimum 5 years of experience in an EA position supporting a senior executive.
- Strong interpersonal and communication skills to work and communicate with large client base, or potential clients, on behalf of President & CEO when required.
- Exceptional organizational and time management skills, with the ability to juggle multiple tasks and priorities, in addition to strong attention to detail.
- You will be one of the biggest direct supports for the President & CEO so trust, integrity, professionalism and reliability is of the utmost importance. Must exercise good judgment and confidentiality.
- Impeccable written and verbal communication skills.
- Passionate about their role and the mission of the organization, willing and interested to continue to learn and to advance the company and your position.
- Ability to work in a high-pressure, fast-paced environment, and embrace change.
- Proactive. Brings new and creative ideas to the company.
- Strong work and business ethic. Possesses a strong willingness to work hard to get the job done setting an example for the team.
- The ability to think ahead and catch problems before they arise. Troubleshoot and handle the daily needs of the company.
