The Ottawa City Soccer Club is a non-profit organization serving over 2,500 soccer players each year. We provide recreational,
competitive and talented pathway opportunities for players of all ages in accordance with guidelines under Ontario Soccer and
Canada Soccer.
The club is a CSA Member Association Level 2 Club Licensee that offers year-round programming in the Ottawa West & Nepean
area.

**Recreational Administrator/Office Manager**

**Position Status**:Full Time (35-40 hrs per week)

**Job Title**:
Recreational Coordinator/Office Manager

**Main Purpose of the Job**:
Oversee all aspects of the recreational programming at the club
Manage all office requirements as outlined by Executive Director

**Reports to**:
Executive Director

**Direct Reports**:
Program Support Staff

**Experience/Qualifications Required**:

- Minimum 5 years office administration experience
- Excellent verbal and written communication skills
- Ability to work in a customer service environment with strong organizational management capabilities
- Interest and knowledge of soccer
- Proficiency in Microsoft Office
- Self-driven with good interpersonal skills

- Experience with OS SportsEngine & Registration Software
- Event management experience

**Duties and Responsibilities**:
OFFICE MANAGEMENT
- Maintaining customer services by organizing office operations in accordance with policies and procedures;
preparing and maintaining all uniform and equipment inventory; maintaining in-house transaction controls and
reporting; maintaining an efficient filing system; assigning and monitoring clerical functions.
- Providing an historical reference by defining the procedure for retention, protection, retrieval, transfer; and

disposal of records.
- Maintain office efficiency by planning and implementing the office system, layout, and procurement of office

supplies.
- Complete operational requirements by scheduling and assigning tasks; following up as necessary on work results.
- Liaising with all office personnel and external customers/clients.
- Manage communication for any registration payment arrears/payment failures.
- Process recreational program cancellations in accordance with club policy.
- Manage inbound materials for website and social media from club sources
- Additional tasks as assigned by Executive Director

RECREATIONAL ADMINISTRATION
- Work with Technical Director/ Executive Director to finalize structure for all recreational seasonal programming

details.
- Update OCSC website with seasonal details for recreational program registration
- Update Registration system with all recreational seasonal structures and set up for registration
- Monitor registration of players and adjust as necessary to expand team/league structure to minimize wait lists
- Manage all communication with recreational staff supervisors, coaches, team leaders and recreational
- players/parents.- Manage player request process
- Manage player recommendations to Girls and Boys Technical Leads
- Complete all player rosters, team details and recreational schedules and modify as required
- team placement.- Manage special orders for replacement kits as required
- Provide reports to Executive director as required
- Will provide bi-weekly updates to the Executive Director on how the program is going and any issues within the
- program.- Manage all recreational division uniform/equipment distribution
- Oversee Recreational player and team official league registration in accordance with the timelines and processes
- prescribed by our governing body.- Assist all volunteer coaches with licensing/registration information when requested.

1) Player and Coach Development- Oversee the under 4 - under 18 Grassroots, Recreation and Community programs throughout the indoor
- and outdoor seasons.- Support coaches to deliver the curriculum provided by OCSC Technical Team.
- The Recreational Coordinator will be the first point of contact for all Recreational coaches.
- Actively participate in training sessions to provide support, guidance and feedback to all Recreational

coaches.
- Work with the Lead Coaches within each age group to ensure Game Day Rosters are created appropriately

and ensure players are placed into the correct/appropriate game day environment with player movement,
when necessary.
