Why is this role important?- What you'll do
- 1. As a member of multiple project teams, supports the team in coordinating internal and external resources, ensuring projects remain within scope and schedule.
- 2. Develops project charters and timelines, monitors project progress, and supports the Program Lead with modifying project plan and/or timelines.
- 3. Organizes agendas and attends project team meetings and coordinates project planning, progress monitoring, and assists with content development and quality assurance processes as necessary.
- 4. Schedules internal and external meetings.
- 5. Coordinates and contributes to internal/external communications, including preparation of materials, such as presentations, and briefing notes.
- 6. Coordinates the development and maintenance of distribution lists in the CRM system and other tools (e.g., Excel).
- 7. Coordinates the development and posting of content to the CIHI website and internal SharePoint sites.
- 8. Ensures that CIHI’s quality management practices are applied consistently and appropriately in all work.
- 9. Supports operational planning processes and coordinates corporate reporting requirements.
- 10. Supports other project duties as needed, including file folder management, web searching, reviewing, analyzing and summarizing information.
- What you'll bring to the table
- Undergraduate degree in Health, Business Administration, Social Sciences, Communications (or related field) or equivalent combination of education and experience.
- A minimum of two to three years’ project coordination experience.
- Demonstrated organizational and project planning skills.
- Strong interpersonal, written, and verbal communication skills.
- Experience organizing meetings and distributing meeting materials for internal and external clients and collaborators.
- Experience summarizing information clearly and concisely.
- Experience coordinating virtual meetings and webinars.
- Competency in the use of Microsoft’s Office programs (Excel, Word, PowerPoint, Teams, Access) and SharePoint.
- Familiarity with tools to maintain networks and contacts e.g., Customer Relationship Management (CRM) software.
- Ability to work independently as well as part of a team.
- Fluency in English required, bilingualism an asset.
