Job Summary:
The LHEARN (Lakeridge Health Education and Research Network) Centre is a 25,000 ft2 hub for education, training, and high-fidelity simulation at Lakeridge Health. Under the direction of the Manager, Academic Affairs & LHEARN, the Administrative Assistant will support the daily operations of Academic Affairs and the LHEARN Centre, including liaising with internal and external stakeholders, course and event coordination, communications and marketing support, and financial tracking.
Job Duties:
- Assist with room bookings and related administrative details such as arranging set-up, catering, and referring internal and external stakeholders to other services.
- Organize clinical training for various courses, including liaising with instructors, participants, and the Medical Simulation Specialist.
- Assist with student and staff onboarding, as required.
- Support LHEARN events as needed, including scheduling educational events, liaising with speakers, assisting with course accreditation, overseeing registration, parking, and other amenities.
- Prepare materials for events and courses, such as packaging slides, marketing materials, agendas, and other necessary content.
- Prepare and distribute marketing/communication materials for the LHEARN Centre, such as e-newsletters, website updates, annual post-cards etc.
- Provide excellent customer service to internal and external stakeholders.
- Report to Manager, Academic Affairs & LHEARN on opportunities for improvement and efficiency.
- Other duties as required.
**Requirements**:
- Experience in an administrative or secretarial role, preferably in a health care or educational setting; Office Administration Diploma an asset.
- Experience in event planning is a very strong asset.
- Intermediate level of computer skills, utilizing Microsoft Word, Excel, Outlook, and PowerPoint (tested).
- Intermediate keyboarding skills (50wpm).
- Intermediate level of computer skills, utilizing Microsoft Teams.
- Digital and/or print design ability/skills an asset.
- Demonstrated communication and interpersonal skills, including excellent customer service.
- Proven ability to assess inquiries and problems, and to exercise good judgment in making the appropriate referrals.
- Demonstrated ability to work productively and independently with frequent interruptions.
- Demonstrated success in effectively organizing and prioritizing work assignments.
- Proven ability to manage multiple tasks simultaneously and be a self-starter.
- Proven to be detail
