**Working for the Department of Pharmacology**

**Position**

The Canadian Islet Research and Training Network (CIRTN) is a consortium of over 200 islet researchers across Canada representing more than a dozen academic institutions from five provinces. Funding for CIRTN is held at, and administrated through, the University of Alberta. Reporting to Dr. Patrick MacDonald, the Training Program and Research Administrator is responsible for a diverse and complex set of tasks in support of CIRTN, as well as Dr. MacDonald’s own research group, including backup support for the ADI IsletCore. The Training Program and Research Administrator provides program administration (CIRTN), office and research administration (MacDonald lab), travel administration (CIRTN and MacDonald lab), financial administration (CIRTN, MacDonald lab, IsletCore), and IsletCore support (secondary, to supplement the primary administration provided by the Administrative Coordinator). The position is expected to provide direct, unsupervised program support to all CIRTN members and the network at large. This role also provides administrative support to members of the MacDonald laboratory.

**Duties**

**CIRTN Administration (50%)**
- Acts as the first point of contact for the program/network (internal and external).
- Responds to specific inquiries about the program from students, trainees, fellows, investigators, external groups. Provides information on aspects of the network and its initiatives to current and prospective members.
- Reviews and prioritizes daily incoming correspondence and initiates or completes action depending on the nature of the inquiry. Redirects queries as necessary to specific network committees or working groups.
- Generates and distributes routine electronic communications to the full membership
- Maintains the CIRTN website, creating additional sites when required (pages for specific event registration)
- Assists with the development of written program materials (e.g. Terms of Reference, Application Instructions, Acceptance Letters, Event Schedules, Annual Reports, etc.). Proofreads and reformats documents as necessary.
- Coordinates with other national research consortiums (e.g. MyRoad) regarding training opportunities and events for network members

**MacDonald Laboratory Administration (30%)**
- Serves as internal point of contact for members of the MacDonald lab (Dr. MacDonald, graduate students, research associates, technicians) in matters related to lab administration and organization
- Responds to external requests for information about the lab (e.g. travel information/immigration policies for visiting students or collaborators), directs inquires as appropriate to various lab members
- Facilitates onboarding of new lab members and visitors by completing paperwork. Processes and manages OneCard building access
- Communicates relevant operations information to ensure all lab staff are informed of University activities that may affect them
- Generates weekly lab meeting agenda
- Organizes travel and book flights for lab members using Concur booking tool and TAP forms
- Assists with financial administration of grants
- Ensures research project budgets are being utilized fully and appropriately, initiating transfers between projects and required
- Tracks expenditures and plans for future expenditures, breaking down grant budgets into different categories (supplies, equipment, travel, salaries, etc)
