**Department summary**

The department of Oncology was founded in 1993 to foster an integrated, comprehensive bench to bedside cancer program in Northern Alberta, promoting the seamless transition from discovery science through translational and clinical research to the best cancer care for Albertans.

Oncology provides a wide range of educational programs, including a graduate program with two specialization streams - Cancer Sciences and Medical Physics; three accredited residency training programs; and the undergraduate Radiation Therapy program.

**Position summary**

The Training Programs Assistant (TPA) is the first point of contact for all visitors to the Oncology Office. The TPA is accountable for ensuring smooth day to day operations despite competing deadlines. Additionally, is responsible for the administration activities supporting the department’s education programs. Role responsibilities include but are not limited to:

- Maintaining student records (including statistical support);
- Monitoring learner documents (including awards, examinations, withdrawal forms);
- Liaise with FGSR, Office of the Registrar and FoMD, or PGME as might be needed;
- Provide information and support for prospective and current summer, undergraduate and graduate students
- Contributing to the development of undergraduate and graduate courses (including registration, timetabling, wait lists, course evaluation and administration);
- Provide information and coordinating special events and projects.

**Duties**
- Provides support toward the planning and coordination of student and guest speaker seminars, open houses, orientations, convocations, recruitment sessions, accreditation activities and other ad hoc events and special projects.
- Schedules and coordinates meetings for the education program office; provides support to various education committees including preparation of agendas and taking of minutes
- Maintains student records/files; prepares and maintains all documentation related to graduate exams. Acts as a resource to students and staff on program requirements and deadlines; advises on procedures and ensures timeliness of completion of appropriate paperwork to meet deadlines.
- Responsible for the administration of all non-Radiation Therapy program Oncology courses: coordinating timetabling/scheduling along with the College of Health Sciences Education Office, scheduling examinations; updating instructors, submitting calendar updates as required. Responsible for administration of TSQS reports/dissemination of feedback to instructors and technical support for classes (LCD projectors, laptops etc) as needed.
- Responsible for updating the Cancer Sciences and Medical Physics eClass sites, as well as occasional support for other educational program eClass sites or other departmental google sites, as may be required.
- Provides other duties as required including coverage during absences of colleagues.

**Minimum Qualifications**
- Diploma in office Administration or Business Administration supplemented by a minimum of 2 years of experience in a student services role in an academic setting. A combination of education and experience will be considered.
- Above average skills in Peoplesoft Campus Solutions, MS Office (Word, Excel, PowerPoint, Outlook), eClass, SupplyNet and Google Apps (G Suite) and Zoom/teleconferencing platforms.
