Rentals Coordinator

**POSITION**
Scene Ideas Inc. is seeking an experienced Rentals Coordinator for our Richmond office. We are looking for a high energy, practical, positive and enthusiastic individual who can thrive in a fast-paced, live events-based business. The primary focus of this position would be to support the Operations Manager, and proactively oversee and manage the coordination of all projects and rentals. This role is best suited for someone who can prioritize multiple objectives, schedule concurrent projects, and adapt to the many changes inherent to the event industry.
**OBJECTIVE**
To assist in the timely and efficient coordination of scenic projects and staging rentals, including the creation, management and dissemination of related information/details to all relevant parties.
**DUTIES**:
- Support the Operations Manager to proactively oversee and manage the coordination of all scenic builds and staging rentals.
- Prepare rental quotes for staging and scenic rentals and follow through with clients to confirmation of order.
- Manage the workflow related to all projects from confirmed request from our sales team to preparation of order by our warehouse team.
- Manage and disseminate related information / details to all relevant parties including but not limited to crew chiefs, operations, fabrication, warehouse, and suppliers.
- Utilizing Flex Rental Solutions, create and review pull sheets for the warehouse.
- Ensure tool and equipment lists are sent to crew chiefs in advance and that additional requests are added to pull sheets.
- Confirm that crew chiefs have reviewed their pull sheets and if time does not permit them to do so, review on their behalf and identify and resolve any conflicts.
- Develop tool lists and detail out all requirements / needs for rentals and disseminate that information to all relevant parties in a timely manner.
- Follow up with clients and internal staff on all unreturned and damaged rental items and create Loss and Damage invoices as necessary.
- Act as the rental equipment liaison between sales team and fabrication shop, warehouse, crew chiefs, etc. and maintain and manage an open line of communication between these different departments.
- Identify and propose resolutions for any inefficiencies, conflicts or perceived shortages in stock or equipment.
- Estimate and establish deadlines as needed regarding inventory requirements or cross rentals.
- Source and obtain quotes for supplies and cross rentals as needed.
- Identify any issues that need clarification from sales team or clients prior to order being pulled by warehouse.
- Work in conjunction with Operations Coordinator as required to coordinate logistics and trucking.
- Work in conjunction with operations team to develop, improve and implement strategies, policies, and practices for better management, reporting, and information flow of projects.
- Other duties as assigned.
**SKILLS & EXPERIENCE REQUIREMENTS**
Minimum of five (5) years of professional experience in a similar position.
- Working knowledge of event industry or warehouse procedures are assets.
- Strong computer skills on PC and Mac including great working knowledge of Microsoft Office.
- High aptitude for learning new computer programs / software (specifically Flex Rental Solutions).
- Ability to read and understand technical drawings.
- Proficiency in English with excellent verbal and written communication skills.
- Excellent organizational, problem solving, and time management skills.
- Capacity to establish priorities and work under pressure, delegating tasks when needed.
- Flexibility and adaptability to changing workloads and priorities.
- Excellent customer service skills, professional demeanour, and detail-oriented.
- Ability to liaise well with others and work within a team.
- Ability to think critically, work independently, and make sound decisions without constant supervision.
- Willingness to work additional time where necessary to complete tasks and meet deadlines.
- Must possess and maintain a valid driver's license with clean driving record.
